Accounts Payable Associate
• Match invoices against receiving registers• Detail invoices for their pay date (check terms)• Check for freight charges on invoices to have them billed• Resolve any discrepancies contacting receiving or salesmen at the different branches and cost checks• Prepare an open payable for each check run• Reconcile invoices against the open payable report ( checks totals and verify payment to correct vendor)• Print checks• Mail checks• Review statements for past due invoices• Contact vendors for the past due invoices• Match Debits from returns to credits taken to prevent duplicate deductions and avoid future chargeback’s • Receive in Direct Shipments• Bill the customer after receiving the direct shipment material• Close out credit card purchases against the bank statement• Call for credits• Copy invoices or fax invoices for the various project departments• Keep spreadsheets for the projects departments (NSO, chargeback’s, and other discrepancies • Fill out credit applications for New VendorsMiscellaneous Payables• Opens mail• Detail invoices• Obtains approvals for each invoice (faxes invoices for branch locations or sent out by inter department mail)PROBLEM SOLVING – Briefly describe the nature of the decision making or problem solving which is part of this position. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.• MS Office skills• Ability to work independently to meet established deadlines and in a team environment• Very good verbal and written communication skills• Strong organizational skills with the ability to work independentlyEDUCATION and/or EXPERIENCE • Two to four years of accounts payable experience• AS in Accounting preferedLANGUAGE SKILLS • Read and comprehend basic information relating to the company’s accounting functions• Write and interpret simple correspondence and documentation• Ability to effectively present information in one-on-one and small to medium size groups, to customers, clients, front-line and management employees of the organization.MATHEMATICAL SKILLS • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
