Records Administrator
RailAmerica has an immediate opening for a Records Administrator to work in their Corporate Offices located in Jacksonville, Florida. RailAmerica is a leading short line and regional rail service provider with 42 short line and regional railroads, operating approximately 7,800 miles in the United States and Canada.
The Records Administrator will develop and manage the company records department and information management programs. The ideal candidate must have the ability to handle confidential information and multi-task in a fast-paced environment. The abilities to make effective decisions and to communicate in a professional manner are also essential to this position. Responsibilities include, but are not limited to:
Responsibilities:
· Manage and maintain document set-up, inventory, imaging and indexing of documents company-wide.
· Create, develop, plan and implement records programs in hard and soft copy.
· Handle confidential documents during investigations and subpoenas.
· Retain Corporate Minute Books, audits and special projects.
· Stay apprised of Sarbanes-Oxley Retention and Destruction policies.
· Research records for information relating to taxes, titles, judgments, or verification or location of other records or information.
· Summarize contracts and agreements.
· Maintain, track and purge file archives in accordance with Sarbanes-Oxley.
· Organize and maintain offsite record retention systems.
· Other duties as assigned.
Qualifications:
· Bachelors Degree and a minimum of 5 years of experience in electronic records & imaging field.
· Expert knowledge of file archiving, custodial document functions, filming/imaging/retrieval of documents.
· Exceptional organizational skills with the ability to achieve immediate and long term goals.
· Strong analytical and communication skills required.
· Must possess strong computer skills; especially in Excel and Word.
· Must be detail oriented and dependable.
· Experience in imaging systems, preferably Alchemy.
· Hands-on management style.
· Ability to analyze, plan and manage.
· Commitment to team dynamics with the ability to contribute expertise and follow leadership directives at appropriate times.
