Position: Project Administrator/Administrative AssistantDepartment: Construction and ProcurementWe are seeking a highly motivated individual, with a strong attention to detail, who will perform a wide variety of responsible, complex and confidential administrative duties. These duties require considerable confidentiality, initiative, tact, maturity and independent judgment. The person must possess strong interpersonal and organization skills.Responsibilities: Assist and support by carrying out project administrative assignments as required. Assist construction and procurement teams with preparation of bid packages, submittals, and contract documents. Establish and maintain comprehensive project files. Prepare and validate accuracy of purchase requisitions, and track submittals and funding status of resulting purchase orders. Establish and maintain various operations, construction, and procurement reports. Initiate and respond to written and verbal correspondence. Compose, edit and distribute correspondence according to established guidelines or personal knowledge of the subject matter. Arrange, coordinate and attend staff and other meetings. Arrange and prepare presentation and distribution materials for meetings. Take and prepare meeting notes, minutes, action lists and follow-up. Research information and procedures.
