Assistant 1, Executive Executive Assistant Responsibilities § Provides administrative support of a highly complex, critical and confidential nature for Vice President of Engineering and Operations. § Interfaces with senior executive staff both internal & external, requiring discretion and initiative. § Coordinates schedules of senior executive staff to facilitate meetings, appointments, visitors. Exercises judgment to reflect executive's style and company policies. § Contacts company personnel at all organizational levels to gather information and prepare reports. § Able to work under short time constraints and produce quality work, ability to prioritize duties liaison between executive and all departments. § Superior communication & organizational skills required. § Be an acknowledged expert within the department on company policies, procedures and core values. § Must have previous experience with event/project coordination. § Researches, composes and originates material such as statistical reports and non-routine correspondence to make recommendations to executive. § Acts as a problem identification and resolution resource, answers questions, provides guidance, troubleshoots and follows up in resolving problems, both internal and external. § Must show good judgment and initiative in selecting the most effective work methods and tools. Reviews documents to determine how they will affect internal processing and determine appropriate course of action. § Independent judgment and discretion is a benchmark of this position. § Most duties performed are of a highly critical & confidential nature. § Individual must be self directed and able to take initiative when necessary. § Works on assignments requiring initiative, understanding implications of work and makes recommendations for solutions. § Determines methods and procedures on new assignments. § May provide guidance to other non-exempt personnel. § As a skilled specialist, completes task in creative, efficient and effective ways. Qualifications § 6-8 years of experience in an office support role preferred. § Experience in executive support preferred. § Must be experienced in Outlook and the entire Microsoft suite. § Must display independent judgment. § Ability to multitask and prioritize. § Must display strong team work abilities. § Clear and concise communicator. § BA strongly preferred. § An equivalent amount of directly applicable experience may be substituted for formal education. § Master MOS Certification preferred.
