Our office is located in beautiful downtown Naperville – within a block of the Riverwalk, restaurants and shopping – and we have our own parking available. RESPONSIBILITIES: - Entering, preparing and forwarding financial and performance information for a variety of reports, e.g., corporate reporting, payroll (ADP) and others in a timely and accurate manner.- Basic Accounts Payable and Receivable; invoice preparation and collection follow-through if needed.- Posting jobs on a variety of websites; tracking assignment fill/close rates and related data.- Resolving various systems issues such as phone, internet, computer software and hardware through interaction with outside contractors.- Ongoing vendor evaluation and selection.- Basic website maintenance including content updates, new staff bios, etc.- Scheduling and proctoring of online pre-employment testing as subcontractor for outside testing service.- Maintaining office calendar.- Maintaining personnel and other confidential records.- New employee setup and orientation.- Maintaining clear and open communication with President and Vice President regarding current status of office projects, goals, and priorities.- Ordering office supplies.- Typing correspondence.- Performing data entry for proprietary database in a timely and accurate manner.- Answering the phone as primary contact for outside callers and assisting callers or directing to employees as needed. Callers include clients, candidates, suppliers, sister MRI offices and others. Positive communications and responsive attitude are paramount.- Greeting office visitors and successfully handling each individual’s situation.- Ensuring the physical appearance of the office is maintained in a presentable and organized fashion.- Maintaining and organizing office files.- Occasional travel arrangements or special event coordination.- Occasional videoconference set-up and coordination.- Other projects as assigned. REQUIREMENTS: - 3+ years experience as an Office Manager or similar role required; staffing and/or teaching experience also preferred.- Bachelor's Degree.- Exemplary communication, organization and problem solving skills; ability to proactively manage the administrative functions of a small office (8 employees).- Strong interpersonal and leadership skills to direct other employees within a team environment (no subordinates).- High energy; ability to think quickly, prioritize, multi-task and change direction as needed.- Strong attention to detail.- Proficiency in Microsoft Word, Excel and Outlook.- Prior QuickBooks and PowerPoint knowledge a plus.- Strong oral and writing skills a must.- Ability to work occasional overtime.  MRINetwork, one of the world's largest search and recruitment organizations, has over 1,000 offices in more than 35 countries.
