OFFICE MANAGER for Executive Search Firm

Position Overview: The Office Manager’s main function is to efficiently run the office; this entails responsibility for Information Technology, light accounting and general office management.  There will also be additional duties on an as needed basis that aren’t detailed below. The Office Manager will be interacting extensively with internal employees as well as outside clients, candidates and outside vendors. 

 

Responsibilities:


IT Support: Overall management of network (including server, router, wireless network)Troubleshooting individual desktops and server Setting up remote desktopVirus updatesHelping with server issues / daily backupSetting up new computers and peripheralsUpgrading computers and hardware / software on an as needed basis

 

Office Management: Liaising between internal employees and floor/building management Ordering / organizing office supplies and equipmentHandling mailing and delivery servicesSending out holiday cards and other firm correspondencePlanning / coordinating firm eventsMaintaining a filing system - both for hard copies and electronic filesKeeping office clean / orderly Supporting Adam Herz, the President (although there is a dedicated executive assistant for him, there may be some responsibilities delegated to the Office Manager)

 

Accounting / Quickbooks: Composing / sending out client cover letters for billingEntering in expense informationMailing / invoice follow-upFiling bills and invoicesProviding assistance with employee benefits related questionsManaging the transit check program / 401K planProcessing payrollProviding tax related information to the accountant


Requirements: BA/BS degreeMinimum of 3 years of office experience, preferably with managing an officeExperience in setting up a small computer networkHighly proficient skills in Microsoft Office, including basic Excel

 

Skill Set:Team player, pro-active and detail-orientedExceptional oral and written communication skillsExcellent follow-through; ability to work with minimal supervision Strong interpersonal, organizational and problem-solving skills
