Due to critical initial impact on public image, this position requires above average customer service and communication skills. Responsibilities include managing briefing center desk operations for the Northeast region, scheduling and coordinating meeting rooms, and ordering catering for meetings and events, ensure meeting rooms are properly set up and order is restored at end of the events. Meeting/greeting participants for customer functions, answering phones routing calls and messages accurately, providing general administrative support to customers and staff as needed.  Duties and Responsibilities  Greet and assist visitors to the lobby in a timely manner Direct customers and guests to the proper meeting location Follow up with customers who have been kept waiting an extended period of time Check Outlook inboxes daily and schedule conference/meeting rooms within established guidelines Ensure meeting rooms are properly set up / configured and order is restored at end of the events Maintain Office look and feel of all conference rooms. Ensure that rooms are clean and equipment is well maintained Ensure rooms are prepared for guests at all times Coordinate room set up and tear down requests Facilitate catering needs Place orders with vendors and complete catering request form Adhere to budgets set for function and preferred caterers guidelines Track catering costs, submit weekly spreadsheet with catering forms and receipts Monitor credit card statement to ensure all charges are accurate Ensure desk is opened at the designated time and conference room signage is current Maintain confidentiality at all times Answer phones within 3 rings in a pleasant and efficient manner Maintain a neat lobby/reception area.  Ensure publications are current and available Adhere to corporate security guidelines Act as Emergency Response contact during emergency situations Maintain document outlining procedures in the event of an emergency Order and maintain front desk and facility office supplies Arrange for courier/taxi pickup and deliveries. Receive packages at front desk and notify recipient of delivery in a timely manner.  Follow up to ensure priority activities are handled quickly Coordinate support of maintenance and repair requests with building maintenance and/or external vendors Build positive working relationships Understand organizational structure and requirements of customers residing in the building.  Assist customers with outgoing faxes and notify them of incoming faxes - Re-route misdirected faxes Use Spherion Unified Tracker daily and report issues as needed Assist with distribution of visitors badges, parking and maintain records Use Receptionist Distribution Tool (RDT) to issue Prime Cards or Quick Assist cards to employees Assist with overflow tasks as assigned from dedicated roles Cross train to provide mail room coverage as needed. Education and Work Experience: High School Diploma or the equivalent2 years customer service experience Skills and Attributes: Basic Word, Excel and Outlook  FlexibleEnjoys working with customersEffective communicationPleasant Phone MannerDetail OrientedAbility to work with minimal supervisionCan keep a timely scheduleMust be a team playerGood organizational skillsProfessionalHigh degree of accuracyProblem Solving Skills Physical Aspects: Sitting for long periods of timeAbility to lift up to 50lbsMoving of chairs and tables Since 1946, Spherion has been helping talented individuals find rewarding job opportunities that drive excellence in their career.
