Performs administrative functions requiring a high degree of attention to detail, confidentiality and skill in various clerical areas and computer usage. Supervisory Responsibilities:NoneEssential Duties and Responsibilities:The Administrative Assistant is responsible for performing the following duties. This list is not comprehensive and all encompassing. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.• Duties include personnel identification; ID card issue; fingerprinting services; vehicle decal issue; temporary pass issue; maintaining records and databases; preparing and recording correspondence; preparing and issuing student packets; issuing and accounting for dormitory keys; conducting personal interviews; answering the telephone and recording messages; and scheduling calendar activities. • May operates various office machines such as fax, photocopier, scanner and calculator.• Other duties as assigned.• Must work flexible hours to include overtime, holidays and weekends. Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.Qualified Candidate must:• Have a High School Diploma or GED• 2 years administrative/clerical experience desired• Have the ability to effectively speak, read, and write English• Be able to understand and follow oral and written instructions• Be able to communicate clearly and precisely, both orally and in writing• Have excellent phone etiquette and verbal communication skills• Be punctual• Be able to operate telephone, photocopier, fax machines, scanner and PC workstation• Be able to work with minimum supervision• Be able to multi-task and establish priorities• Have experience with Microsoft Office suite (Word, Excel, Outlook, PowerPoint)• Must be able to type a minimum of 45 WPM with the ability to select, arrange, and compose letters with copy• Candidate must wear appropriate business attire.• Must be at least 21 years old• Must be a US Citizen • Honorable discharge if served in U.s. Armed ForcesOther Skills:Language Skills:• Ability to communicate effectively, in both the written and spoken English Language with managers, customers and employees is required• Ability to read and comprehend instructions, correspondence, and memosCertificates, Licenses, Registrations• Must have a valid driver's license• Must be able to obtain and maintain a valid DoD security clearance if required by position.Mathematical Skills:• Ability to add, subtract two digit numbers and to multiply and divide with 10’s and 100’s using a calculator.Reasoning Ability:• Ability to apply common sense understanding to carry out simple one or two-step instructions• Ability to deal with standardized situations with occasional variables• Ability to discern when other parties need to be involved in validating prioritiesPhysical Demands:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
