Job Title: Administrative Assistant/Office Manager



SUMMARY
The primary duty of this position is assisting the management team maintain excellent communication with the stores and with other team members. Other broad responsibilities include systemization of management information tools and methods as well as improving the efficiency of existing systems. The job involves multiple deadlines and skill sets. Assignments will include organizing tasks for others as well as independent task and project work.



ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Supply and material purchases for the office and satelite locations Schedule and follow up on requested repairs for the office and satelite locations Project coordination for office and satelite locations Maintain communications systems and services such as phones, internet and long-distance service Conduct research for management team members Cover phones when necessary Process purchase requests for the office and satelite locations Process repair requests for the entire company

EDUCATION and/or EXPERIENCE
High school diploma; Two to four years of related experience and/or training; or equivalent combination of post secondary education and experience related to bookkeeping/accounting/business administration. Computer literacy in Excel, MS Word, and Internet applications; general knowledge of computer terminology.



LANGUAGE SKILLS
Ability to read, analyze, and interpret documents such as operating and maintenance instructions, professional journals, or procedure manuals. Ability to write routine reports, business correspondence, and responds to common inquiries. Ability to effectively request and present information and respond to questions from managers, employees, clients, customers and the general public.



MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to calculate figures and amounts such as percentages. Ability to interpret common graphs and apply concepts of basic algebra.

REASONING ABILITY
Ability to apply common sense understanding to carry out daily functions. Ability to solve practical problems and deal with several variables in situations where varying degrees of standardization exist. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
