HUMAN RESOURCES SERVICES REPRESENTATIVE

POSITION SUMMARY:Position is responsible to process payroll and personnel transactions, and to ensure accurate and timely interface processing between payroll and HR systems. Incumbents are the primary contact for inquiries and service requests for the Human Resources department. PRIMARY RESPONSIBILITIES:Incumbent(s) will perform diverse duties in processing and monitoring of human resources, benefits and payroll records. Depending on department requirements, actual role may include a variety of the responsibilities set forth below.TRANSACTIONALEnter, maintain and update entries for various personnel information as necessary.Update employee personnel files to include documentation supporting transactional processing.Enroll employees in benefit plans as selected. Process status changes for employee elections in benefit plans (Change of Status Events).Maintain benefit information for ?over-age? dependents.Send required leave of absence paperwork to employees and supervisors for completion.Assist with maintaining and monitoring the accuracy of Social Security Numbers and other required information. Research and resolve issues as necessary. Send notifications to supervisor regarding any discrepancies found as required.Distribute benefit communication materials as required.Calculate and process pay for employees on disability according to the company policy and state disability calculations.Monitor the eligibility for 401k; identify newly eligible employees and distribute enrollment materials on a monthly basis.Print and distribute employee meal cards as scheduled.VALIDATION AND RECORDS PROCESSINGValidate source documentation and approvals for all employee information updates.Run audit reports and ensure missing data is entered prior to processing payroll.Ensure the receipt of any/all appropriate personnel information pertaining to hires, updates, etc. Audit incoming information for applicable information, and verify correct approvals as required. Actively follow up on any outstanding or incorrect items.Scan and/or e-file electronic images for Human Resources as required. File any additional hard copy documents as necessary.Log direct deposit return notifications and returned checks as necessary.Review reports (e.g. element audit reports, vendor error reports, etc) as scheduled. Research and resolve any issues or discrepancies found in the audits. Provide a report of findings as necessary.INFORMATION AND REPORT FOCUSSend third party interface files to the appropriate destinations.Create reports using payroll vendor reporting tool for use within the HR Services department.RESPOND TO INQUIRIESRespond to employee inquiries, and to verbal and written verifications for employment, benefits, insurance, etc. made by state agencies and other companies. Maintain accurate records of any information provided to employees or third parties.Respond to general payroll, Human Resources and benefits related questions and requests for information.Maintain and respond to W-2 hotline; distribute W-2?s and provide duplicate copies as requested.PAYROLL PROCESSINGProcess payroll and enter vacation/PTO information for assigned restaurants.Process special pays (i.e., cash paid outs, voids, etc.) and payroll for new restaurant openings and restaurants being re-modeled.Print off-cycle check pro?s and fax report of checks issued to the bank for positive pay.Run and review local tax verification report to ensure correct local tax withholding.Coordinate with the Information Services department to poll (or re-poll) labor files as necessary.Sort paychecks and give to on-site mail service vendor for distribution.ADDITIONAL RESPONSIBILITIESAssist with department projects as needed.Maintain and update benefits rates in HR system as necessary.POSITION REQUIREMENTS:Related secondary education preferred. Professional experience in Human Resources, Payroll, or a related work area preferred.Customer focus essential, with a high degree of sensitivity for confidentiality, ability to exercise discretion with various employee/outside source questions and issues.Must have the ability to communicate effectively and demonstrate courtesy and tact when dealing with employees or outside sources.Quality orientation and attention to detail required.Ability to monitor information, and manage workload and priorities, while maintaining high standard of work quality.
