Portfolio Maintenance Director

AvalonBay Communities, Inc., a national development and property management company, is looking for the right candidate to join our Portfolio Maintenance team to manage our MA and RI properties.
In this important role, you will be responsible for the maintenance management/operations of a portfolio of assigned communities (including the oversight of the on-site maintenance managers, systems utilization, the selection and oversight of third-party vendors and quality control. Reporting to the Regional Vice President of Operations, you will manage the maintenance operations related to your portfolio of assigned communities such as staff recruitment/retention, training, financial budget planning and performance, customer service, and third party vendor/suppliers to maximize revenue, control expense, and improve customer satisfaction in support of AVB's business goals. In this role you will develop, implement, and monitor effective programs designed to provide the appropriate level of maintenance service at each of the assigned communities consistent with AVB policies and standards. As part of the operations team, you will also manage the flow of information to ensure that the overhead management team and the on-site maintenance teams are aware of relevant business issues specific to the maintenance operation. Additionally, you will partner with Portfolio Operations Directors to ensure appropriate levels of customer service/satisfaction are maintained in communities across your portfolio; design and implements strategies to address issues. You will participate as a member of the asset team for new communities and redevelopment projects. You will also work under the direction of the Regional Maintenance Director to implement and manage Engineering and Maintenance policies, procedures and strategies. Examples: Safety (CMSEs), ADA, environmental O&M plans, other regulatory compliance, field training, energy programs, preventive maintenance, the acceptance process, maintenance manager development and performance, etc. You will be responsible for preparing a maintenance related operating budget for your portfolio and assisting the Regional Maintenance Director in the annual capex budget development process. Identify and prioritize projects, solicit pricing and input budgets. In addition, you will execute capex projects at the direction of the Regaional Maintenance Director. Solicit bids, prepare contracts, manage projects, and process payments while adhering to all AVB capex policies. Your responsibilities will also include ensuring that customer service issues related to maintenance in your assigned portfolio are addressed in a timely manner consistent with AVB policies and standards. Implement solutions to issues identified through our annual customer service survey and monitor the effectiveness of proposed solutions. Utilize various AVB systems to monitor and analyze trends regarding the effectiveness of maintenance programs, the improvement of customer satisfaction, the efficiencies and expense control and the management of on-site maintenance teams. You will also 11. Participate in regional initiatives as directed by the RMD and/or VP Ops to facilitate sharing of best practices, task force membership, and cross training. Manage continuous improvement efforts within sphere-of-influence by identifying and implementing initiatives to improve the overall maintenance operation at each of the assigned communities and the portfolio overall. Provide oversight of the disaster recovery process, across multiple communities. Ensure that Maintenance Managers and associate teams have appropriate tools and resources, and that associates comply with AVB policy, as appropriate. Resolve employee relation issues and provide developmental support to subordinates via coaching, counseling, and training. Ensure that a pool of succession candidates is available to meet business goals. Ensure compliance with all federal, state, and local laws specifically related to the maintenance operations for the assigned portfolio.
Education: Bachelors Degree (Engineering degree a plus) OR 5 years of progressive maintenance management responsibility in property management, building services, hospitality or other dynamic environment.
Experience:
5-7 years of management experience overseeing multiple direct reports in the maintenance/engineering function.
Skills: Our ideal candidate has the ability to effectively manage a portfolio of communities as evidenced by a work history of addressing issues such as third-party vendor oversight, systems utilization, maintenance operations, personnel management, team building, customer services, budget management and negotiations. Qualified candidates have strong computer skills (including MS Office word processing, spreadsheets, and presentations) Corrigo, OpsTechnology, Foundation and other systems currently in use as well as those that may be deployed for use in the future in order to manage and administer the maintenance operations of the assigned portfolio. Candidates must possess exceptional organizational and communication skills and demonstrated ability to create and deliver presentations on maintenance operations related subject matter, to read and interpret architectural and engineering plans/drawings and to write reports in a clear concise manner. 4. Ability to perform basic arithmetic skills such as measurement, addition, subtraction, multiplication and division in order to do basic calculations and analysis such as estimating, determining averages and percentages, and totals. Valid driver's license and automobile insurance. Certification in systems such as boilers, HVAC, Chillers, Cooling Towers, fire, steam, electrical, and plumbing consistent with the specific needs of the portfolio of communities to be managed.
