Executive Assistant to CFO

Summary:
Currently we are seeking a Executive Administrative Assistant to support a busy CFO in our corporate Midtown office. Must have impeccable attention to detail, excellent problem-solving, communication, organizational, time management and computer skills. Must move quickly and be able to shift priorities effortlessly; demonstrate a sense of urgency and initiative; think outside of the box; and be able to anticipate the CFO’s needs. Prefer an experienced professional who has previously supported a CFO or other executive.
Responsibilities:Answer, screen, route and respond to CFO’s phone calls. Act as liaison with other departments and interact with vendors and clients on behalf of CFO. Prepare, proofread for accuracy and edit correspondence, expense reports and other documents. Schedule travel, meetings and conference calls. Calendar management.Photocopy, scan, bind, fax and file documents as necessary. Coordinate meetings, lunches, conference calls, transportation and travel. Meet and greet clients.Supports Accounting Department as needed.Miscellaneous projects as assigned.
Oualifications:Excellent written and verbal communication skills; ability to interact effectively, professionally and confidentially with management, brokers, clients and colleagues.Professional appearance and demeanor. Must show discretion and maintain confidentiality when dealing with highly sensitive information. Impeccable attention to detail and accuracy. Strong proofreading and editing skills. Ability to effectively juggle and complete conflicting and simultaneous requests. Project management skills; take initiative, work independently and prioritize workload and tasks in a multi-task environment. Excellent problem-solving, analytical and follow-through skills. Advanced proficiency with MS Word, Outlook, Excel, Quickbooks and Access is essential. Minimum 3+ years similar experience supporting a CFO or other executive. Flexible to work overtime with little notice as workload necessitates. College degree preferred.
