Job Summary:

The Executive Assistant will work on a daily basis with two executives of a new start up company in a challenging and demanding role.

 

Essential Duties and Responsibilities:

 

• Assist with all administrative tasks

• Manage a complex executive calendar and schedule appointments.

• Manage the day-to-day office functions including answering phones, file management, and other general office/clerical functions.

• Screens incoming calls and correspondence and responds independently when possible.

• Organizes programs, events, meetings or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers and controlling event budget.

• Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings.

• Mail and overnight items on a daily basis

• Provide general assistance to other corporate staff.

• Assist with investor relations management as needed

• Able to run errands at a moments notice

• Performs other duties as assigned.

 

Requirements:

Ability to function as a liaison for the executives to Team Members and other contacts, both internal and external.  Prioritizes and plans work activities and uses time efficiently.  Ability to work in a fast paced office environment. Thorough and monitors own work to ensure quality.  Adapts to changes in the work environment, manages competing demands and is able to deal with frequent change, delays or unexpected events.  Ability to handle sensitive material concerning the organization and the executive's role within the organization.  Possess a high degree of proficiency with MS Office products including Word, Excel, Power Point and Outlook.  Demonstrate the ability to communicate effectively and professionally.  Identify and resolve problems in a timely manner. Gathers and analyzes information skillfully.  Maintains confidentiality, remains open to others' ideas and exhibits willingness to try new things.  Edits work for spelling and grammar, presents numerical data effectively and is able to read and interpret written information.  Consistently at work and on time, follows instructions, responds to management direction and solicits feedback to improve performance.  Ability to work independently with minimal supervision.  Must be able to drive to different local locations.

 

Minimum Education/Training/Experience:

Bachelors degree in a business related field. Minimum of 3 years experience in an Executive Assistant role or 5 years experience in an Administrative Assistant role.
