The Position

 

Executive Assistant / Project Manager

  

SummarY - As an Executive Assistant / Project Manager you will have an immediate impact on the success and future of this company, by providing support to the Chief Marketing Officer.  Your main responsibilities will include assignments that involve work of a confidential and complex nature with considerable discretion, judgment, tact and diplomacy required.

 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES - There are 3 key areas of focus:

 

·         Administrative Support

o   Provide direct administrative support in the traditional sense to the CMO inclusive of correspondence, scheduling, and management of the general workflow. 

§  Prepare complicated PowerPoint presentations and Excel spreadsheets.

§  Ability to translate dictation and follow-up correspondence

§  Coordinate conference calls and off/on site meetings.

§  Record minutes of meetings and distribute to meeting attendees.

§  Help prepare reports, manuals, agendas, correspondence and memoranda.

o   Working with outside vendors, make travel arrangements, hotel and car reservations

o   Prepare and process expense reports.

o   Perform general office duties and provide executive administrative support.

o   Travel Required (Sales and Training Sessions as needed)

 

·         Presentation and Media Enhancement

o   Develop presentations

§  The ideal person will be a media-savvy individual who can apply his or her knowledge of professional presentation components with the resources of our Editorial and Sales departments to develop poignant, effective, and branded presentations on a case-by-case basis.  

 

·         Business Planning and Corporate Business Calendar

o   Develop a Business Calendar that will drive the business planning efforts throughout the year, establishing key due dates for all necessary changes to our current business models.

o   Managing the timeline will play a keep role in keeping RISMedia on track as a company and allow RISMedia to properly allocate time towards enhancing the structure for upcoming business years.

o   Create and Maintain Customer and Contract databases utilizing Access.

 

All Other Essential Duties as directed.

 

 

MINIMUM QUALIFICATIONS

 

We are a seeking a talented, detail oriented, pleasant, organized and highly motivated individual to support the operations organization. The ideal candidate must have:

 

·         BS or equivalent life experience and 10+ years as an executive assistant

·         Expert knowledge and capabilities with MS PowerPoint, Excel, Word, Outlook, Lotus Notes, Meeting /Appointment Calendaring and Access.

·         Demonstrated writing and analytical skills.

·         Take charge, strong initiative and the ability to multitask.

·         Creativity and strong “follow-through skills”.

·         Enjoy and be comfortable interacting with people from many different cultures and backgrounds.

·         Ability to work and think independently, be ambitious and maintain a high energy level

·         Sales and Marketing support experience.

·         Dictation translation
