Building Maintance Engineer- Real Estate Rocky Hill CT

 

The Building Engineer is responsible for the physical operation, maintenance and general appearance of the building and its systems. The Engineer is New Boston Management’s point person and, as such, the delivery of prompt, courteous and professional service to the tenants is foremost among the Engineer’s responsibilities.

The following job description is intended to serve as general guideline for the tasks to be performed by the Building Engineer. Functions will vary by property depending on the physical characteristics of the building and the lease obligations of the Landlord. To effectively execute the duties outlined below it is recommended that the Superintendent develops and implements a “daily routine” as well as a comprehensive maintenance schedule in conjunction with the Property Manger.

With the approval of the Property Manager, certain tasks will require the use of independent contractors. In such instances the Building Engineer will coordinate obtaining bids, scheduling of work and inspection of work to assure satisfactory completion.

MAJOR DUTIES AND RESPONSIBILITIES OF BUILDING ENGINEER

I. Maintenance of Property.

• Respond to or direct all emergency calls.
• Inspect, repair and maintain life and safety systems in good working order (i.e. fire alarm systems, sprinkler systems, exit lights, etc.) (Regular inspections and repairs of life safety systems must be performed by qualified and licensed contractors).
• Inspect, repair and maintain all lighting fixtures. (Check with manager to verify Landlord’s obligations)
• Inspect, repair and maintain plumbing and plumbing fixtures.
• Inspect, repair and maintain HVAC system in good working order. Assure that regular preventive maintenance is being performed. (Use independent contractor as needed. Contractor should inspect system prior to winter and summer months.).
• Inspect building and repair violations of building codes.
• Inspect building, common areas, parking lots and walkway to identify and repair potential safety hazards.
• Inspect roof for potential problem areas (check roof drains to make sure clear and baskets are used).
• Inspect and maintain appearance and function of mailboxes, intercom or security card access systems.
• Maintain a current listing of all card access users. Periodically update (2x per year) list of users.
• Inspect and maintain appearance of building parking areas to assure no abandoned vehicles, broken glass etc. are present.
• Maintain proper building signage including parking area and directional signs.
• Maintain building directory signage. Update when tenants move in or out.
• Maintain timer systems (exterior lighting, building access etc.) for accuracy through seasonal changes.
• Inspect and maintain windows and blinds in good working order.
• Inspect and maintain appearance and function of fences.
• Check HVAC room for possible problems (timers unlocked, leaking pipes, etc.)
• Install and maintain locks throughout building. Keep master set of keys.
• Inspect, repair and prepare for leasing any vacant space.
• Coordinate all services between maintenance crew, property manager and contract services.
• Coordinate timely delivery of all materials needed to provide quality customer service to all tenants.
• Arrange for and coordinate bids on services and materials as requested.


II. General Cleaning and Inspecting of Property: It is assumed that cleaning tasks will be performed by cleaning contractors. However, it is the responsibility of the Engineer to inspect and evaluate the work of the cleaning contractor.

• Daily Inspection
1. Lobbies, bathrooms and common areas to be thoroughly cleaned to specifications of cleaning contract.
2. Inspect exterior of building for litter and debris and remove. Picking up of trash on site is Superintendent’s responsibility.
3. Inspect interior common areas of all buildings for cleanliness, lighting, heating and security problems.

• Weekly Cleaning and Inspection
1. Basement and storage areas.
2. Sweep sidewalks and parking areas - touch up sweeping around curbs, loading areas etc.

• Tenant Areas:
Engineer will be responsible for assuring that tenant cleaning services are being adequately provided and will work to resolve any tenant complaints regarding the delivery of services. Follow-up is critical. Suggest that Engineer schedule a walk through with cleaning company’s supervisor to meet with tenants on a monthly basis.


III. Landscaping/Snow Removal/Rubbish Removal - Property Manager and Building Engineer to establish
policies and standards for optimum management of the following functions.

• Maintain safety standards by removing snow and properly salting sidewalks and parking areas when necessary.
• Mow lawns.
• Water lawns and interior and exterior plants.
• Maintain flower beds and shrubs.
• Remove leaves (sidewalks, gutters, and parking areas) as needed.


IV. Service Companies - report quality in services of each company to the Property Manager; assist and
accompany servicemen performing any job or project on property when necessary.

• Rubbish Collection
• Pest Control
• Landscaping
• Snow Removal
• Vending Machines

V. Security of Property - All maintenance and cleaning personnel will wear uniforms.

• Check security of vacant space - to be closed and locked at all times.
• Check all common area entries/exits and windows. Make sure locks are operating properly
• Report cars without authorization or vehicles illegally parked in parking areas.
• Report unauthorized persons in buildings.
• Check roof doors - to be closed and locked at all times.

VI. Purchasing (authorization to purchase)

• Renovation materials (i.e. fixtures, carpeting, etc.) as authorized by Property Manager.
• Locks and keys as required.
• All other purchased to be approved by Property Manager.

VII. Miscellaneous

• Establish and maintain productive working relationship with tenants.
• Ensure proper use of products and equipment per manufacturers instructions.
• Maintain properly dressed and groomed appearance while on duty according to the nature of the job.
• Maintain administrative files and records relevant to building operations.
• Facilitate delivery of notices to tenants.
• Facilitate towing when necessary.

QUALIFICATIONS:

Verbal and written skills.
Available for 24 hour on-call response to emergency calls.
Ability to maintain building security systems.
Basic knowledge of HVAC systems, electrical and plumbing systems.
