Office Manager
Office Manager sought for arts organization restoring a landmark building and creating a new venue within. The Office Manager will run day-to-day office services for the organization as listed below. This is a good opportunity for someone with a few years of relevant experience to work in a quick-paced arts environment. The position requires a person who is hard-working, savvy, flexible, accuate, and willing to learn.
Responsibilities
The Office Manager reports to the Facilities Operations Manager and the Director of Facilities and is responsible for a wide range of administrative functions including, but not limited to, facilities management, mail processing, purchasing, and administrative support.
Essential Job Functions Maintain general office organization and orderliness, including stocking and organizing break area, copy and conference rooms, and other common areas. Perform light facilities maintenance and assistance including event set-ups, office set-ups, conference room set-ups, PC set-ups, as required. Purchasing of office and kitchen supplies and equipment, processing purchase orders, monitoring department budget. Oversee maintenance and repair issues with external vendors. Assist in negotiation of vendor contracts and maintain relationships with vendors. Operate and maintain equipment, including spiral and binding machines, shredder, mail machines, office security system, kitchen equipment, fax machines and copiers. Oversee, coordinate, and assist with office moves. Provide reception coverage for breaks and time off. Process incoming and outgoing mail and deliver to post office and drop boxes. Assist departments in large mailings and copying. Maintain phone systems, including relationships with vendors, equipment purchasing, installation, and configuration. Maintain office supplies inventory control and office occupancy tracking systems. Assist in the development and maintenance of an administrative procedures handbook. Assist with other administrative projects that may include word processing/typing, internet research, filing, etc. Have the ability to lift 50 pounds. Other tasks as assigned.
