Administrative Assistant

The Associated Press seeks an Administrative Assistant for the Business News dept in New York City. This is a key support position in one of AP's fastest growing and largest news departments. The Administrative Assistant will assist the Business Editor, other managers and staff with a wide range of daily issues including correspondence and communication, recruiting and hiring, work and vacation scheduling and liaising with other departments on and off the newsroom floor. He or she will provide some remote administrative support to a satellite desk in Washington D.C., and works as part of a team with assistants in other news departments. The Administrative Assistant will: Coordinate and ensure effective communication between the department, other AP units and outside companies. Prepare and analyze spreadsheets and complete regular and electronic mailings. Provide financial control support, including check requests and expense reports. Work with software applications including Word, SAP and, Excel. Handle confidential information relating to bureau operation and Human Resources such as processing SAP transactions, time sheets and tracking related information. Organize and coordinate meetings and schedules for individuals and groups making travel and accommodation arrangements. Perform general administrative duties for the department. Receive and direct visitors, answer telephones and directing calls as appropriate. Handle correspondence and filing, order and maintain supplies and shipping.QUALIFICATIONS:The ideal candidate will have strong problem-solving skills and decision-making ability. He or she must have good organizational skills and ability to multi-task. Excellent oral, written and interpersonal skills are also required. This person must have that ability to thrive in a time-pressured environment to meet all deadlines.

Additional Requirements: Strong computer skills, especially Microsoft Excel and Word. Familiarity with SAP, Outlook and Access preferred. Web skills are a plus. Good written and verbal communication skills, plus the ability to deal professionally and constructively with vendors, members and staff at all levels. Must project a professional image. Organization, prioritization, time-management, and multi-tasking skills. Ability to work with minimal supervision to initiate and complete tasks. Attention to detail and adept at problem solving. 2-3 years of experience as an Administrative Assistant or similar position is preferred, as is some college.
