Medical Administrative Assistant
SUMMARY
The position performs administrative, clerical, and technical functions of the program/facility by performing the following duties:
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Operate telephone systems, route incoming calls, record, and distribute messages in an accurate, timely, and professional manner.
Greet and announce clients and visitors to appropriate staff members.
Perform and assist in clerical intake process on all clients, assist with maintaining client files, and include case affiliate for reporting purposes.
Coordinate and type all reports required by outside referral agencies such as client and population reports and meet designated deadlines to ensure regulatory compliance.
Compose routine letters, correspondence, memos, reports, and other confidential information to assist appropriate supervisory and administrative staff members.
Types and distributes monthly reports or correspondence via fax/mail to appropriate outside referral agencies to ensure regulatory compliance.
Distribute incoming mail and prepare out going mail.
Assist with reports for general program/facility correspondence such as and client reports, facility evaluation reports, policies and procedures, meeting minutes, to include maintaining back up files to support the operation of the facility.
Contact appropriate individuals for repair and maintenance of office equipment.
Utilize as backup purposes for payroll and time keeping functions.
Maintains administrative filing system that provides access to specific information according to outside referral agencies to ensure regulatory compliance.
Maintains various daily, weekly, and monthly reports as assigned.
Adhere to departmental policies and procedures to ensure compliance with current practices and regulatory standards and guidelines
Assist with office supply ordering, distribution, and filing.
Attend staff meetings and conferences.
Supports the Cornell Abraxas' philosophy and mission and promotes the Seven Key Principles of care.
Perform other duties as assigned.

The position has no supervisory responsibilities.

Qualifications

Education and/or Experience
High school diploma or GED and minimum two years medical office related experience; Business school diploma and minimum six months medical office related experience. Must have knowledge of medical office billing practices, CPT and ICD-9 codes and medical terminology.
Language Skills
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Mathematical Skills
Ability to apply basic math skills concepts such as addition, subtraction, multiplication, and division.
Reasoning Ability
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
Computer Skills
Word processing, email, and spreadsheets
Certificates, Licenses, Registrations
Other Skills and Abilities
Ability to edit correspondence and reports for content and grammar.
Ability to meet deadlines and prioritize.
Other Qualifications
At least twenty-one (21) years of age
Criminal clearances (Act 33 and 34 clearances, specific State and child clearances and if necessary FBI)
Valid driver's license
Valid registered vehicle insurance
