Job Summary
Provide administrative and project support to two Vice Presidents in North America Marketing. This position is focused on heavy calendar management, oral and written communications, presentation/spreadsheet creation and general administrative support, plus the opportunity to grow professionally
Essential Functions
* Calendar management; schedule and coordinate meetings with other executives; schedule and coordinate team meetings
* Manage VPs by getting them to meetings on time and in the right location, ensure meeting materials are provided prior to each meeting
* Organize and prioritize numerous projects, initiatives and requests from both senior management and the larger team
* Use discretion when handling confidential/sensitive information
* Process invoices, track budgetary spend
* Strong work ethic and desire for professional growth; preferably in Marketing
* Exceptional communication skills; outgoing and friendly, able to communicate internally with all levels of the organization and externally with customers and partners, both on the telephone and in person
* Extraordinary organizational skills and attention to detail; able to shift priorities quickly and remain calm and focused under pressure; able to manage multiple projects/requests and meet deadlines
* Must be a self-starter and strong team player; foresees challenges and finds solutions, works with a sense of urgency
* Ability to work independently while being a strong team player; understands when to involve others in the decision-making process; exercises good judgment
* Proven ability to manage projects and streamline process
* High energy, flexible, fast learner, and can bring a high degree of commitment and a \"can do\" attitude to the team
* Skilled at creating effective working relationships
* Experience handling confidential/sensitive information
* Outstanding computer skills, including Outlook, Word, Excel, PowerPoint, SharePoint and Internet research
* Stellar writing and editing abilities with a keen eye for detail
* A sense of humor
* Manage strategic initiatives: create/update templates, spreadsheets and presentations, synthesize and evaluate data, track progress, ensure timeline adherence
* Review/finalize presentations for accuracy and formatting consistency; copy and distribute presentations prior to conference/meeting dates
* Assist on various projects as needed for exposure to areas of marketing (web, tradeshows, customer events, brand and communications)
* Coordinate all travel arrangements; assemble and submit expense reports

Education
* Bachelor’s degree preferred and/or equivalent work experience.

* Must be self-directed and work independently toward objectives with a sense of urgency; uses good judgment
* Strong communication skills (verbal and written); outgoing and friendly
* Project management skills
* Intermediate to advanced proficiency with MS Office (Outlook, Word, PowerPoint, Excel)
* Experience using the Internet for business information and communications
* Ability to help with the implementation of new processes as required to improve department efficiency and effectiveness
* Review/track monthly receipts, statements, and invoices and initiate payment and/or appropriate paperwork as required
* Must possess a strong desire to be part of a creating a world-class marketing team
