HQ Purchasing Supervisor

HQ Purchasing Supervisor Needed: The HQ Purchasing Supervisor is responsible for procuring goods and services for Headquarters and supply, visual and promotional purchasing for Stores (all brands). Develops and maintains procurement procedures in compliance with general accounting practices, industry standards and highest level purchasing ethics. Supervises 1-2 purchasing assistants. FUNCTIONAL RESPONSIBILITIES: · In charge of purchase requisition and purchase order processes for the company. Researches and recommends products and services. Obtains quotations and proposals. Conducts competitive bids and participates in the writing and conducting of formal Requests for Proposal. Strives to achieve the appropriate price/value balance for each purchasing situation · Control purchase order inventory. Generate and tracks purchase orders, communicating with vendor representatives as needed to assure clarity and that terms and conditions are adhered to · Reconcile receivers to purchase orders and releases orders for delivery to departments after identifying and addressing any discrepancies · Reconcile invoices to receivers and purchase orders, resolving any remaining issues with vendors to assure every invoice submitted for payment is accurate · Hire and train staff · Monitor, motivate and evaluate job performance · Conduct formal and informal training programs for internal customers on purchasing forms and procedures · Responsible for management of supplies for all Chico 's, WHBM, and soma stores. Implement appropriate purchasing processes for stores bases upon extensive cost analysis and product evaluation. Work closely with store support and visual merchandising personnel to procure the correct amount of store supplies in a timely manner under the most favorable price structures · Oversee third party vendor in the creation of innovative ideas for both new and ongoing store projects · Interface with Store Support department relative to new store set up in order to include all supplies needed on scheduled arrival dates · Responsible for company packaging program. Work closely with marketing, DDS and packaging vendor to achieve final artwork, proofs, approvals, pricing, and production schedules · Responsible for all promotional purchasing for every headquarters department · Oversee headquarters stamp purchasing supply and funds and departmental petty cash funds, assuring appropriate requisitions and records and updated and maintained QUALIFICATIONS: REQUIRED: Associate's degree in business or accounting with 3-5 years relevant general office, supervisory and procurement experience or the equivalent combination of education and experience Superior customer service orientation with the ability to resolve conflict, communicate and interact effectively with all levels of internal and external customers Familiarity and practice of industry standard purchasing and general business office procedures and etiquette Computer proficiency including Microsoft Outlook, Word, and Excel and Web based purchasing systems Ability to develop and maintain complex spreadsheets Knowledge and practice of organizational, time and project management skills Excellent detail orientation with the ability to prioritize, follow through and multi-task effectively and adapt to changing conditions in a fast paced environment Ability to work with detailed financial data with a high degree of accuracy Ability to project and maintain consistent professional appearance and behavior Competencies Problem Solving : Uses rigorous logic and methods to solve difficult problems with effective solutions; probes all fruitful sources for answers; can see hidden problems; is excellent at honest analysis; looks beyond the obvious and doesn't stop at the first answers.
