Facilities Assistant II
Job Description:PURPOSE/SCOPEThis facilities position is responsible for supporting senior FM leadership on-site with organizing projects to meet their business requirements. Provide general support to on-site Facilities team as required.PRIMARY RESPONSIBILITIES - Provide general support for the facilities functions at a GMAC office location.- Established project priorities, manages expectations of customers and service providers.- Interface with vendors and clients to ensure meetings are organized and planning complete. - Ensure that purchasing procedures and policies are followed.- Manage scheduling, confirmations, configurations, catering, AV requirements for executive management and business areas.- Responsible for the invoice payment process. Receive and process invoices in a timely and accurate fashion using PeopleSoft financials to track and monitor payment.- Ensure appropriate accounts are charged, signoffs are attained, and invoice log is up to date and accurate. Act as liaison between customers, vendors and landlord.- Maintain listings of company leases, initiate purchase orders, issue access security and company identification badges, desk keys and reception/switchboard functions.- Track work orders; process and maintain security badge requests.- Assist in handling MAC requests and update headcounts through AutoCad.KEY ATTRIBUTES· Advanced communication skills (verbal, written, listening)· Professional customer service skills· Demonstrate ability to handle multiple projects and assignments, able to prioritize, coordinate resources and meet deadlines· Maintain and exhibit a positive, willing attitudeJOB REQUIREMENTSEducation level: Undergraduate degree with related or equivalent work experience and technical seminars Total years and type of prior related experience:· Three to five years work experiences in a related field or industry· Knowledge of AutoCad preferred and/or phone system operationWhile this job description is intended to be an accurate reflection of the job requirements, management reserves the right to modify, add, or remove duties from particular jobs and to assign other duties as necessary.
