Executive Administrative Assistant to CEO
Summary:
The Executive Administrative Assistant plays a critical role in supporting the CEO. The incumbent will manage the CEO’s schedule, travel and all other administrative needs. Needs to be Mac-savvy.
Responsibilities:
• Manages calendar, independently schedules appointments, reviews invitees, collects materials and prepares executive for meetings
• Prepares records such as agenda, notices, minutes, and resolutions for meetings, schedules guests, and distributes materials in advance.
• May provide support and direction to other clerical and administrative support staff.
• Assist with sorting, prioritization and disposition of incoming calls and correspondence (email and postal mail), responding independently when appropriate
• Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents
• Create and maintain communication channels (e.g. email distribution lists).
• Follows-up on action items with direct reports on behalf of CEO.
• Analyzes problems, determines approach, compiles & analyzes data, and prepares reports and/or recommendations for executive level staff.
• Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
• Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings, prepares and tracks expense reports, and accompanies supervisor when requested.
(**Could involve dog walking as well)
Requirements
Qualifications Required: ( Must have all of these to be considered)
• Bachelor Degree
• Excellent comp skills demonstrated proficiency with MS Outlook, Word, PowerPoint, Excel and MAC's
• Prior experience supporting C-suite executives
• Detail oriented, multi-tasker, able to plan, prioritize and execute multiple concurrent activities
• Ability to communicate both orally and in writing in a clear, professional and pleasant manner.
• Ability to handle frequent interruptions and changes in priorities.
• Excellent customer service
