POSITION SUMMARY:
This position is responsible for the accurate completion of work submitted to the firmwide Document and Application Team. Responsibilities include an array of administrative support such as word processing, data entry, time entry, faxing, making travel arrangements, calendaring, preparing mailings, and other general clerical work. The essential functions listed below are not exhaustive and may be changed from time to time as necessary.
ESSENTIAL FUNCTIONS:
Creating and formatting documents from hand written or marked-up documents, via fax, pdf or audio format including, but not limited to, memos, letters, charts, check requests, Business Intake Forms, briefs, pleadings, agreements, deeds, leases, tax returns, benefit plans, and other such documents.Creating and formatting spreadsheets, PowerPoint presentations, Table of Authorities (TOA), Table of Contents (TOC).Revising previously created documents, spreadsheets, and presentations following formats and styles already created in such product.Accurate entering of attorney/paralegal time into the accounting system (DTE) as requested.Preparing New Business Memos as requested.Creating ERMS record labels as requested. Receiving and distributing electronic faxes.Database entry, editing, sorting, and reporting. Proofreading and distributing reports and other materials.Imaging and profiling in PCDocs, as well as using acrobat writer and other file formats such as tif, gif, and jpg. Proofreading all work including reading documents for content and context.Preparing bulk mailings.Updating contact lists.Managing calendars. Making travel arrangements including transportation, automobile rentals and hotel reservations.Photocopying documents, books, and other papers as needed.Updating periodicals and loose leaf publications as requested.
REQUIREMENTS:
Education:
High School diploma or its equivalent. College-level classes or business school preferred.
Experience:
Two years experience with Microsoft Word applications. Experience with Excel, Access and PowerPoint a plus.
Skills:
Strong typing (100-120 wpm), formatting and proofreading skills, attention to detail and ability to work independently. Excellent knowledge and usage of Microsoft Office. Demonstrated ability to produce accurate work product and meet deadlines. An ability to understand and follow specific and detailed instructions.

Equipment to be Used:
Must be able to operate personal computer and other office equipment such as telephone, transcription machine, typewriter, fax machine, photocopier and so on.
Typical Physical Demands:
Requires sitting for prolonged periods of time. Requires manual dexterity and range of hearing/vision sufficient to operate standard office machines such as computer, keyboard, telephone, transcription machine, photocopier, printer and other office equipment.
Typical Mental Demands:
Requires high level of concentration to work on lengthy documents. Must be able to decipher various handwriting styles and interpret speech patterns on Dictaphone equipment. Must be able to deal with stress associated with a fast-paced work environment, including handling the demands of multiple tasks on a daily basis. Must be able to work well as a member of a team. Must be able to adapt to changing work situations and grasp and apply new ideas.
Working Conditions:
Work in a typical office setting. Occasionally called upon to work overtime.
