Job Summary:
Maintain and administer all non-occupational Disability/LOA programs company wide, and act as liaison between insurance carrier, company, and employee. Ensure compliance with FMLA, ADA, USSERA and all Plan rules/requirements including collective bargining agreements. Advise company management, field HR on proper application of company policies on Leaves and Disability Claims and ensure on-going compliance and validity of all claims.
Job Responsibilities:Analyze and administer non-exempt disability and FMLA claims for multiple benefit groups (including union and multiple state plans i.e. CA, NJ, NY, HI) with Disability Third Party Administrator by reviewing and coordinating on-going claims and medical management from the start to the end of the leave, as well as problem resolution.Administer LTD leaves by completing Physical Demands Analysis, employee job description, enrollment history, and other forms and communications with Disability Third Party Administrator. Analyze, approve and perform ongoing medical claims management including independent evaluation of medical notes for the self insured/company administered salaried short-term disability and FMLA leaves, and coordinate the salary continuance with payroll. Ensure reimbursement from state mandated plans (NY, NJ, RI, CA & HI) as appropriate and ensuring validity of salaried STD leaves. Analyze, approve, and monitor (hourly, union and salaried) Intermittent FMLA, Personal, and Military leave requests, ensuring compliance with varying state leave laws, Collective Bargaining Agreements, etc.Review Weekly Leave Reports. Administer inactivation from payroll when appropriate.Guide HR Representatives/Supervisors on leaves including the organizing and conducting on-going claims reviews to ensure facility HR representatives are trained and accurately administering the plans. Ensure compliance with FMLA, ADA, USSERA and all Plan rules/requirements including collective bargining agreements. Provide subject matter expertise and guidance to facility HR in these areas.Create and mail employee communication letters for approved leaves and e-mail facility HR on denied leaves. Send follow up communications/requests to facility HR and/or the employee when required medical documentation or required follow up documentation has not been submitted. Research and resolve employee issues regarding disability payments, insurance, deductions, reimbursements, and leave payments.Continuous evaluation and contribution to the improvement and reorganization of processes, not limited to but including leave letter and employee communication updates. Enter non-occupational leaves into absence management system when Disability Coordinator is out of office.Collect insurance payments, calculate arrears and set up double deductions when Disability Coordinator is out of office.Compliance research and discussion with Disability team.Other duties as assigned (including acquisition due diligence, employee support, training, etc).
Job Requirements:Associates Degree or equivalent.2 years of human resources or related experience; medical management and/or insurance claims experience preferred. An understanding of Local, State and Federal laws and regulations pertaining to Disability plans, i.e. FMLA, ADA and other Disability or Leave related regulations; insurance claims. Proficiency with computer applications including Microsoft Office Software and database systems. Experience with an HRIS system is highly desired and Lawson specific experience is preferred. Outstanding client service orientation with the ability to work effectively with all levels of management to deliver timely and proactive Human Resources Services. Professional verbal and written communication skills and the ability to guide/train as a subject matter expert. High attention to detail, and organization.
