Accounts Receivable Specialist

The Accounts Receivable Specialist is responsible for administering, recording and maintaining collection of assessments of the properties assigned. • Sets up new Associations on in-house computer system ensuring that all recurring charges and beginning balances are entered and reconcile in-house balances with the documentation of balances received to insure accurate beginning balances. • Bill accounts for periodic assessments, interest, late fees and charge backs according to recorded documents and Board policy. • Download lockbox payments and reconcile lockbox deposits on a daily basis. • Review and process payments received at PCMI through manual posting. • Balance manual transactions and pending payments for account portfolio, of approximately 30 Associations, on a weekly basis prior to system update and deposit. • Research delinquencies and prepare delinquency reports for Property Managers. • Obtain the proper paperwork from the Property Manager regarding assessment rate changes. Ensure that in-house computer system is updated with annual, semi-annual, quarterly and monthly maintenance fee rates well in advance of the effective date. • Process files to Outsource Company for coupons/invoices to be used with lockbox service for the Associations in A/R Rep's portfolio. • Coordinate with bank lockbox departments regarding annual procedures for lockbox service, i.e. files received via modem or email. • Coordinate with Accounts Payable via fee reimbursement reports to identify monthly income in specific categories and the disbursement of funds to appropriate bank accounts. • Responds to Operations Manager, Property Managers and other authorized employees on accounts receivables questions. • Ability to work as a team member • Oral and written communication • Ability to do multi-tasking • Analytical • Computer • Calculator or 10 key by touch • Accounting • Filing/organizational EDUCATION and/or EXPERIENCE: • Minimum of 3 years experience in accounts receivables processes • Familiarity with Property Management systems preferred. • High school diploma and a minimum of 3 years post-high school accounting.
