Research Administration Assistant
The Research Administration Assistant is responsible for general administrative and program support for the Alliance for Lupus Research (ALR) Research Department. This person serves as primary back up for the Manager, Research Administration. He or she provides a range of levels of support from basic administrative office support to specific assigned projects related to scientific meetings, peer review, grants management and other research department activities.
Responsibilities:Provide administrative and logistical support for all research program related events, including but not limited to meetings and conference calls. Responsibilities also include taking minutes and distributing materials appropriately.Departmental contact for attendance to research related events, responsible for display set up, shipping and payment of all related fees. Candidate will also ensure distribution of meeting notices, agendas and background materials for each meeting/conference.Through the direction of the Manager, Research Administration, the candidate will provide assistance to grant reviewers and grant applicants in the grant administration process. He/She will draft general correspondence to grant applicants and awardees regarding notification and responses to general requests.Use online grant application system to generate reports and track relevant grant information.Provide data entry related to the ALR research program and ensure accurate database records and files for the Scientific Advisory Board (SAB).Ensure all contact information is up to date in all ALR databases (i.e. Outlook, eTapestry, etc…). Assist in creating researcher/scientific mailing lists.Provide support and distribute program related materials to staff/volunteers etc. and update materials appropriately. Maintain electronic and hardcopy files for all materials related to SAB and funded grants, including keeping information current and accurate.Maintain and distribute a tracking document for ALR funded investigators & SAB members speaking activities for ALR events.First point of contact and negotiation with vendors related to scientific meetings, as well as being responsible for ordering supplies for events.Prepare all paperwork in a systematic manner related to grant payments.Assure receipt of publications and data related to ALR funded grants that will monitor and track results of ALR research funding.Conduct internet research as needed.General administrative support for the research program including but not limited to filing, assistance with correspondence and scheduling meetings.
Qualifications:
College degree required. Two plus years experience working in a fast-paced business office, preferably a non-profit or fundraising office. Strong computer skills required, including online database management skills and exceptional proficiency in Excel, Microsoft Word and the Internet. Must have strong communication skills as well as excellent attention to detail. Meeting planning experience highly desired. Occasional travel required.
