Executive Assistant to the President

The Center will be welcoming a new President in October who will need a top-notch Executive Assistant to support him as he leads the Center through a period of growth and transition. The Executive Assistant will manage the President’s day-to-day administrative needs; arrange for board meetings and travel and interact with senior staff, board members, and donors. EXECUTIVE ASSISTANT TO THE PRESIDENT Job summary: The Executive Assistant manages the Office of the President by providing a wide range of administrative support, handling Center-wide special projects, and coordinating Board of Trustees mailings, meetings, and records. The Executive Assistant also supports the president and the Development Office in handling foundation relations and fundraising activities. Responsibilities: Administrative Support for the President:

- Maintain the president’s calendar and schedule meetings on his behalf.

- Screen phone calls and correspondence and ensure that the President and other members of the Foundation Center’s senior staff are promptly advised of priority matters. Respond to routine requests for information.

- Provide follow-up assistance for the President on a variety of administrative matters.

- Prepare reports, related documents, and correspondence.

- Create and maintain time and expense records, filing systems, mailing lists and other records, as needed.

- Make travel and meeting arrangements for the President, Board members, and senior staff members in connection with the President’s activities.

- Provide logistical support for on-site and off-site meetings and other special Center events. Board of Trustees:

- Assist with the scheduling, organization and coordination of Board meetings, including preparation of Board documents and related materials.

- Handle all board-related mailings.

- Maintain Board of Trustees records.

- Facilitate ongoing trustee communication. Foundation Relations and Fundraising:

- On behalf of the President, coordinate phone, email, mail, and face-to-face interactions with foundations.

- In partnership with Development Office staff, generate letters and create records relating to foundation contacts, visits, proposals, and reports. Other: - Perform other duties and special projects, as assigned. Requirements: - BA/BS degree. - Minimum of five years of administrative experience, preferably in providing support to an executive. - Demonstrated expertise in anticipating and fulfilling the needs and priorities of a senior executive. - Excellent verbal and written communications skills. Excellent proofreading skills. - Ability to research and analyze issues and to prepare a range of memos, reports, proposals, and other documents. - Strong interpersonal and problem-solving skills. - Ability to organize competing priorities and follow through quickly, to work independently but also collaboratively and to pay attention to details. - Must handle confidential information with the utmost integrity. - Demonstrated experience working with Windows-based computer applications such as the Microsoft Office Suite.
