Executive Assistant-Alliance for a Healthier Generation

American Heart Association Based in New York CityThe Executive Assistant will provide administrative support to the Alliance Executive Director and other management staff. Responsibilities will include: handling internal information requests, performing administrative functions such as preparing correspondence, receiving visitors, scheduling meetings, arranging travel, preparing internal reports and managing other internal procedures. The Executive Assistant will also serve as the administrative office manager for the Alliance headquarters and will manage interns who work in the Harlem office.Duties: ' Communicate and provide information by relevant methods internally and externally to assist and enable organizational operations and effective service to connecting groups. ' Manage day-to-day schedule, logistics and travel of Executive Director and other Directors' Arrange meetings, conferences, and project team activities. ' Approve decisions, requests, expenditure and recommendations on behalf of senior people in their absence, according to agreed upon guidelines and policies. ' Interpret instructions and issues arising, and then implement actions according to administrative policies and procedures. ' Research and investigate information to enable strategic decision-making by others. ' Adhere and communicate internally stated policies and procedures relating to health and safety, and quality management in the headquarter office.' Ensure appropriate responses to all general Alliance correspondence, emails and phone inquiries.' Coordinate logistics and staff all Board of Director meetings and Alliance meetings based in NYC.' Develop and manage all materials necessary for ED and Director presentations and meetings.' Manage day to day administrative tasks (e.g. ordering supplies) in the Harlem office.' Coordinate and assign the day-to-day tasks of the CF-based Alliance interns. The successful candidate is required to have significant administrative experience. A minimum of five years experience in an administrative role requiring support of senior personnel is required.
