Position Overview:

Reporting directly to the CEO and CFO, the Executive Assistant will leverage the members of the Foundation’s Executive Team and ensure smooth daily operations by providing high-quality administrative support, serving as the front line of communication for internal and external constituencies, and designing and implementing efficient systems and processes that optimize effective flow of information. The Executive Assistant will manage an Administrative Assistant, vendor relationships, and day-to-day interactions with resident grantees, and will foster a spirit of responsiveness in line with the mission and goals of the Foundation.

 

Responsibilities:  

 

Executive team support 

·         Manage the prioritization of and response to all incoming requests and communication directed to the Executive Team from internal and external constituents, taking responsibility for replies whenever possible and developing systems to optimize the flow of information 

·         Provide high-quality administrative support to the executive team, managing calendars, travel and itineraries, expense reports, drafting correspondence, and creating preparation materials for projects and meetings 

·         Manage the scheduling, communications, and production of reports and minutes for the organization’s Board of Directors as well as the Executive and Strategic Committees 

·         Establish, maintain, and coordinate filing systems and documents for key projects, initiatives, and relationships

·         Serve as liaison to staff, ensuring regular communication

·         Lead special projects and initiatives

 

Office Management

·         Ensure an exceptional level of customer service and maintenance of ongoing professional working relationships with the Foundation’s constituents by managing and responding to incoming requests

·         Manage Foundation operations calendar to ensure alignment with priorities and seamless coordination of activities and communication

·         Hire, train, supervise, and develop Administrative Assistant

·          Anticipate and manage preparation for upcoming meetings, events, and activities

·         Build, streamline, and document systems and processes that ensure consistent and excellent delivery of services 

 

Qualifications: 5+ years of professional experience, preferably in a fast-paced administrative support role Demonstrated experience with and commitment to the mission of the Foundation and the work of its grantees Excellent written and verbal communication skills Demonstrated experience fostering collaboration Exceptional organizational skills and attention to detail with a mature and professional style Experience managing multiple projects with competing priorities and timelines simultaneously Demonstrated ability to work independently and as part of a team Proficient in database management and Microsoft Office software; an interest in and knowledge of Web 2.0 technology preferred Comfort with the use of technology and internet as a communication vehicle to promote the Foundation’s work and highlighting grantees Bachelor’s degree or equivalent experience required
