Position Overview:
Non-Exempt, Part-time 22 hours per week M – F 10AM – 3PM
This position provides administrative support to the staff and management through preparation of reports and correspondence, database data maintenance, telephone support, meeting coordination, campaign pledge processing, creation of solicitation materials and other projects as may be assigned.
Key Responsibilities:
Database Management
What: Prepare reports relative to development, including information on donors, volunteers and contributions.
How: Using United Way databases and software applications, compile, sort and format data for reports.
What: Maintain lists relative to fund raising campaigns, including donor, volunteer, and prospect lists.
How: Create databases and update and process corrections to existing lists utilizing current database and software resources. Periodically check listings for accuracy.
What: Process campaign contributions/pledges.
How: Prepare and process financial contributions in a timely manner so gifts can be acknowledged and credited to appropriate staff person(s). Audit all pledge report envelopes to ensure accuracy of data represented.
Administration
What: Provide administrative support to staff as needed. Assist with the development of new business leads and various projects as may be assigned.
How: Compose and prepare various forms of correspondence (letters, memos, large mailings, etc.). Maintain filing systems and manage periodic back-ups of the public drives used by staff.
Interpret and facilitate information capture, update and reporting via Rainbow, our fund raising database and related systems.
*Run analysis reports for assigned fund raising segment.
*Correspond with volunteers via email, mail and telephone.
*Prepare materials for volunteer meetings.
*Attend external volunteer meetings as needed.
Call Center Support
What: Provide receptionist back up support as needed.
How: Manage incoming calls to central phone line and announcement of guests in the lobby. Meet and greet guests, answer incoming caller questions or as appropriate, route incoming calls to staff.
Special Events
What: Assist with the coordination of special event activities.
How: Duties may include creating name tags/tents, personalized pledge materials, preparing mailhouse specifications and other logistical activities.
Requirements:
*Bachelor’s Degree preferred. Strong experience in lieu of degree considered.
*1-3 years challenging experience in an administrative role required.
*Intermediate to advanced level skills in MS Word, Excel and PowerPoint required. Computer tests required to assess skill level.
*Proficiency in database applications. Experience with fund raising database systems preferred.
*Strong verbal and written communication skills required.
*Ability to manage telephone and in person communication with strong customer skills including tact and diplomacy.
*Proven ability to manage and prioritize multiple tasks to meet deadlines.
*Strong attention to detail.
*Ability to work independently and as a part of a team.
*Willingness to accommodate requests for support outside of regular business hours on occasion, with appropriate notice.
