Communications and Marketing Assistant

Position Description Summary:
The Communications & Marketing Assistant performs a wide variety of support duties in the External and Donor Relations Department of the California Community Foundation (“CCF”). This position reports to the Director of Communications, and provides some support to the Communications Associate and Writer/Editor. Administrative responsibilities can be expected to account for 80% of this position’s time. Additional duties include writing, researching and editing for CCF’s publications, assisting in Web operations and marketing projects. This position has been funded through June 30, 2009 and may or may not be funded beyond that date. Employment with California Community Foundation beyond June 30, 2009 is not guaranteed.
Major Responsibilities:
· Administrative Support: Maintains department calendar, schedules meetings and conference calls; composes and processes correspondence; answers phones; processes mailings; creates and maintains department files; orders supplies; prints and copies documents; processes fax and messenger communications; processes invoices, check requests and expense reports; researches and manages vendors and makes travel arrangements. Responds to requests for information and materials, assists in event planning and database projects. Monitors the general CCF email and responds as needed.
· Marketing: Supports the planning, implementation and evaluation of marketing and communications vehicles and campaigns tailored to target audiences. Tasks include but are not limited to coordinating production of an e-newsletter for a specific audience, researching advertising opportunities and compiling all funds list for the annual report.
· Web Management Support: Assists the team with Web site management and update by revising data, creating graphics, scanning and resizing photos, creating and linking PDF files and drafting text as the alternate backup representative of the communications and marketing team to the Web site Management Group.
· Mailing Lists: Compiles lists from all departments and sources, including Blackbaud Raiser’s Edge 7 and MicroEdge GIFTS. Creates formatted mailing lists for different projects as needed, manages communications and marketing mailings and coordinates large mailings with the mail house.
· Archive/Library: Maintains press clipping binder to keep track of positive media stories mentioning CCF. Manages news monitoring services and reprints of newspaper and magazine articles. Maintains the visual media library. Drafts monthly press coverage memos.
· Representation and Support: Caters to other teams and departments on communications and marketing-related inquiries, such as location of the logo file or branded templates. Serves as a representative at other department meetings
Qualifications: Communication Skills: Superior interpersonal, verbal and written communication skills, including proofreading. Excellent telephone and customer service skills. Conversational fluency in a second language preferred. Project Management Skills: Ability to plan and implement multiple projects simultaneously from start to finish. Ability to prioritize work effectively under pressure, meet deadlines, adjust to fast-faced workplace while maintaining a strong attention to detail. Marketing Expertise: Support development and management of customized marketing efforts for all targeted and prioritized audiences. Support of planning, development and evaluation of marketing and communication vehicles and campaigns for these audiences. Proven record of segmenting audiences, researching their needs and preferences and tailoring the message and packaging. Team Work Skills: Ability to work effectively in a team setting, especially across departments within an organization. Web site Management: Develop and manage Web site revisions and updates in collaboration with Web master. Familiarity with Web site management software, ability to track Web traffic statistics and respond to the needs of target priority audience. Experience: At least two years of professional experience, preferably in a communications-related job. Technology Skills: Internet competency and strong computer skills and aptitude, including mastery of latest Microsoft Office Suite, required. Demonstrated mastery of Blackbaud Raiser’s Edge, Microedge GIFTS, Photoshop, Contribute, Quark and/or Dreamweaver software preferred or will need steep learning curve. Education: B.A. degree, preferably in journalism, marketing, English, public relations, political science, American studies or a similar field. General: Highly motivated, with the ability to work independently, take initiative, participate as an effective team member and follow tasks through to completion. Work to promote an atmosphere of open communication and to make information available to both internal and external constituents. Ability to work with a diverse group of people in a multicultural environment.
Compensation
$35,000 - $45,000 dependent on experience (prorated from hire date through termination). A generous benefits package is also provided. Note that travel and relocation costs cannot be paid by the foundation.
