Description:"Guidance, Solutions, Integrity" describes the Legal Team's approach to providing responsive legal guidance supporting the implementation of the foundation's strategies. The Legal Team offers creative solutions that accomplish programmatic objectives, develops and implements efficient legal processes to streamline the foundation’s grantmaking and contracting practices, and applies preventive legal strategies and compliance policies to minimize risks and safeguard the foundation’s reputation.The Administrative Assistant supports members of the Global Development Legal Team by providing a wide variety of administrative and organizational support as well as coordination of projects to ensure that the team operates smoothly. Key Responsibilities: Creating, updating and/or maintaining organized files and records. Maintaining an organized system of tracking, monitoring and prioritizing tasks and projects. Drafting and/or editing correspondence, such as letters, memos, emails, and PowerPoint presentations. Answering and prioritizing telephone calls, email and mail communications. Compiling and processing expense reports, reimbursements, and check requests, accurately and timely. Space and IT set-up for new hires and visiting staff as required. Scheduling of domestic and international appointments and meetings, managing complex calendars, and coordinating travel arrangements and out-of-town meetings. Occasional assistance in planning for events, such as meetings, conferences, presentations, and dinners, which may include preparing agenda, collecting materials, coordinating arrangements for participants, handling logistics, preparing and disseminating materials. Handle confidential and non-routine information with sensitivity. Works with the Project Coordinator, other members of the Legal team and Foundation staff as required. Other comparable responsibilities as needed. Qualifications:· A minimum of 3-8 years administrative experience (depending on the position), preferably in a complex and fast-paced organization, interacting intensively with internal and external contacts.· Experience setting priorities and meeting deadlines while balancing the needs of providing support for multiple individuals, including calendar management, travel arrangements, and event planning coordination. · Excellent oral and written communication skills in an environment requiring diplomacy and good judgment in managing interactions with individuals at all levels inside and outside an organization. · Demonstrated effectiveness meeting deadlines in a role requiring continual attention to detail in composing, typing and proofing materials. · Experience establishing organizational systems to improve efficiency and functioning in a changing environment. · Demonstrated experience using and proficiency with MSWord, Outlook, Excel, Access and PowerPoint is required.· Discretion in handling sensitive or confidential information· Sense of humor· A BA or BS degree is preferred.
