SUMMARY DESCRIPTION

The Staffing Coordinator will have primary responsibility for support, training and management of the I-Recruit Applicant Tracking System.  This individual will be the primary point of contact for all users in the organization.  Recommends process/customer service improvements, innovative solutions, and/or potential policy/process changes to improve the overall effectiveness of the system and/or system use within the organization.  The Staffing Coordinator will also support recruitment activities and special projects through support to the Human Resources function. 

 

ESSENTIAL DUTIES AND RESPONSIBILTIES

The Staffing Coordinator will be the “super user” for the I-Recruit system. This position is the primary point of contact for all I-Recruit users across the organization.  Manage data integrity, support users’ needs, resolve users’ issues, and recommend on-going process improvements. 

 Key responsibilities may include:Act as a liaison between HR and various departments to facilitiate communications, support business needs and help resolve system discrepancies.Troubleshoot user problems, coach and provide support.  Partner with Oracle technical support resources on more complex, system related problems.Develop and maintain user procedures, guidelines, and documentation.  Ensure users understand all procedures and that they are executed consistently in the organization’s best interests. Update and maintain training resources.  Train new system users on processes/functionality as part of the on going use of the system.  Identify training gaps and determine how best to close them.  Write, maintain and generate a variety of reports and queries utilizing appropriate reporting tools.  Assist in the development of standard reports designed to meet on-going customer needs as well as required reporting.  Maintain data integrity for Affirmative Action Planning, EEO, OFCCP, and other government reports.Analyze requests, write and customize statistical summaries and special reports.Assist in the assessment and standardization of fundamental recruitment processes and systems problems/issues.  Solicit user feedback and experience to recommend process/customer service improvements, innovative solutions, and policy changes designed to improve the overall effectiveness of the I-Recruit system.Support HR staff by providing assistance on a variety of recruitment/on boarding projects, including special event coordination.  Provide support to the Human Resources function on special projects, such as the College Recruitment and Intern Programs. 

 

DESIRED MINIMUM QUALIFICATIONS

The requirements listed below are representative of the knowledge, skill and/or ability required for this position.

 

Bachelors Degree required, with 1-3 years experience in Human Resources, preferably with hands on experience with an HRIS system and/or Applicant Tracking System.  Knowledge of Oracle is preferred, but familiarity with other HRIS systems is acceptable.  Knowledge of recruitment practices and staffing is preferred.  Previous experience in the Biotech/Medical Device/Pharmaceutical industry is a plus.Ability to communicate with both technical and functional audiences and articulate customer issues/resolutionsStrong understanding of HR processes and dataDemonstrated high level of proficiency and comfort with technology and systemsExcellent written and oral communication skills Strong interpersonal and organizational skillsAbility to multi-task effectivelyFlexible and operates with a sense of urgency; Open to change and demonstrates the ability to change gears when necessaryAbility to work effectively and collaboratively across many levels in the organizationProficient in Microsoft Office Suite We are committed to creating an environment where all employees are valued and respected.
