Job Description Administrator Administrative Associate (Customer Service & Accounts)Education: Bachelors degree in related areas preferred e.g., business, accounting; will consider Associates degree or comparable experience. Job Responsibilities:A broad spectrum of administrative, accounting and clerical duties: Answer phones and email inquiries to provide assistance for customers, prospects, distributors and vendors. Prepare sales quotes and process purchase orders. Process demo requests and Prepare Product Return Authorizations for service of instruments. Make collection calls for unpaid invoices. Update customer/prospect database daily. Prepare documents for U.S. and international shipments. Forward sales leads to international distributors. Send out quotes as well as email and hardcopy letters for leads generated at conferences. Process and follow-up on lead requests received from publications and document ad placements. Assist with setting up conference and travel arrangements. Assist with special projects for Managers e.g., Sales and Marketing Order and stock general office supplies for company.Accounts Receivable Process payments, reconcile discrepancies in QuickBooks Enterprise.Accounts Payable Post payables, cut checks, initiate wires, reconcile credit cards, etc. Qualifications Excellent oral and written communication skills for phone and email contact with customers, vendors and distributors; some customer contact experience preferred. Excellent PC skills including Microsoft Office Suite (e.g. Word and Excel) as well as a working knowledge of the Internet and Outlook; Quickbooks helpful. General knowledge of office equipment (e.g. fax, copier and printer) Good organizational skills, able to manage multiple tasks and handle details accurately and efficiently Willingness and ability to learn new things.
