PERSONAL ADMINISTRATIVE ASSISTANT

CERAMIC DECORATING COMPANY, INC.

 

This position reports to the CEO.

In a nutshell: This position provides high-level administrative support for the CEO by working to organize, direct communications effectively, keep calendar and contacts current, prepare and edit correspondence, build and maintain filing systems, allowing the CEO to focus on his unique abilities. Maintaining professional and some personal aspects with excellent judgment and discretion allows CEO to focus on pushing forward the organizational vision, and business expansion while building on strong family relationships at home.

 

Examples of Responsibilities:



Responsibilities:

1.       Set up and maintain CEO’s files and records (may contain confidential information).

 

2.       Maintains CEO’s daily calendar and contact list.

 

 

3.       Assist CEO in remaining aware of what appointments are upcoming.

 

 

2.       Make travel and lodging arrangements.

 

 

3.       Schedule internal and external meetings.

 

 

4.       Compose letters, memorandums, presentation materials as directed

 

 

5.       Complete expense reports.

 

 

6.       Edit and mail out marketing pieces.

 

 

7.       Assist in projects as needed.

 

 

8.       Run errands as needed.

 

 

9.       Screen telephone calls and incoming mail, publications and other correspondence.

 

 

10.       Work to become knowledgeable of organization policy and procedures in order to retain accuracy and the spirit of the organization in all responsibilities.11.       Coordinate, plan, and organize company events, celebrations.

 

12.         Do research and create/edit PowerPoint presentations.

 

13.       Do research and Create/edit reports as requested.

 

14 .       Weekly drop and pick up of cleaners.

 

15.       Daily Juicing fresh vegetable and fruit drinks

 

16.       Pick up or make fresh (simple) meals

 

 









 Position Qualifications:

 Minimum Education:                       Bachelor’s degree.

 

Experience:                                     Three to five years of administrative experience good but not required.

 

Skills: Excellent communication and articulation skills, both oral and written.    

          Very organized and attentive to details.

          Strong follow through. 

          Likes to set up structures and systems. 

          Able to exercise excellent judgment in communication with all levels of employees and clients.

          Good understanding and discretion with all sensitive materials.

          A "sense of urgency" attitude to follow through and complete responsibilities/tasks.

          Able to multi-task and to prioritize responsibilities.

          Other necessary characteristics: honest, responsive, patient, pleasant attitude/demeanor, takes initiative, adaptable, dedicated, willing to go above and beyond, self-starter.  

          Proficiency in operating PC’s, including excellent skill in navigating the internet and proficiency in Microsoft Office products (Word, Excel, Outlook and Powerpoint). 

 

Mental Demands:   Able to work under pressure to meet deadlines in a fast-paced environment.  Must demonstrate analysis, consulting skills and excellent business acumen.

 

Physical Demands:   May require sitting for extended periods of time and repetitive motions.  Hearing and speaking required.  Ability to lift, pull, bend, grasp and occasionally lift up to 20 lbs., and extend reach to top of four-drawer file cabinet.

 

Visual Demands:   Computer monitor reading.

 

Environment: Positive upbeat office setting and occasionally industrial/warehouse setting.                               

 



Position: 



Full-time, 12 month, exempt position.   Comparable benefits.
