IM Coordinator - Document Control

IM Coordinator- Houston,Tx

The IM Coordinator is responsible for providing IM infrastructure, procedures, and support for the Downstream Team.  They are also responsible for transitioning project data to the relevant operational systems. This position will report to the Business Manager.

 

Responsibilities include:

 

· Implementing the document indexing (numbering) schemas and attributes for the Project, and determining its IM requirements (people, training)

· Implement the IM infrastructure requirements for the project

· Determining training needs, and implement a training plan for project team members for processes, procedures, and systems

· Coordinating with the project team, FEED/EPC IT organizations, and company IT delivery organization to implement the selected IM Infrastructure

· Liaise with project team, vendor IM organization to deliver project IM systems and support

· Providing Information Management support to the Asset

· Assist in developing the plan and coordinating the transition of project data to Operations at the end of Project Execution

· Developing, updating, and managing Document Management processes and procedures for working with and sharing documents both within the project team and with contractors/vendors as required

· Managing all structured and unstructured data

· Enforcing project procedures and standards for items such as format, structure, retention, information protection, intellectual property, numbering system, creation, acceptance, and revision control

· Deploying, and managing work procedures for tracking and expediting project documents, including document reviews, approvals, and exchanges with company and contractor personnel

· Coordinating the production and maintenance of the project Distribution Matrix with the project team, and using this matrix to distribute documents as required

· Planning, staffing, and managing Information Management resources needed for each phase of the Project

· Managing Information Management processes and procedures, including the enforcement of contract requirements for Information Management of the contractor

· Identifying the various types of documents to be processed and maintained in the Document Management System contents and attributes

· Administration of Document Management System or folder structure

· Design and creation of Document Management Reports

· Project team Document handling work processes

· Writing the IM portion of the Downstream project’s Project Execution Plan

· Writing FEED/EPC contract exhibits for Project IM systems

· Leading Document Control Team

· Level 1 user support on the IM system

· Assist in designing and implementing a procedure to populate the MCP asset IM systems at the end of CPDEP phase 4

· Assist in archiving all IM data at the ends of Pre-FEED, FEED & Execution.
