Assistant to the President
C&D TECHNOLOGIES, INC. is a publicly held, global, high-tech manufacturer of back-up power and power supplies. We currently have an opening for an Assistant to the President in our Blue Bell, PA headquarters.
The Assistant to the President will provide comprehensive administrative support for the President and CEO of the Company, including all related support activities for Board of Directors. Also provide complete administrative support for both the Vice President and CFO, and Vice President of Marketing and Business Development.
Responsibilities Related to President and CEO
· Maintain a thorough understanding of the President’s job and methods of work, company procedures, and persons at all levels of the organization
· Organize and expedite the flow of work through the President’s office and follow up with all levels; compose and type letters and correspondence; establish and maintain highly confidential files and reports; gather and prepare information relative to the President’s function
· Act as a liaison between the President and the Executive Staff or other key employees
· Arrange all travel (domestic and international) for President, and Executive Staff members traveling with President
· Schedule all appointments and coordinate and confirm arrangements for meetings and conferences involving the President.
· Arrange meetings with key shareholders, analysts and investors as required.
· Act as a liaison between the President and Board Members as required to maintain efficient and effective communication and coordination.
· Schedule quarterly business review meetings
· Provide support to two additional senior executives
· Fulfill requests of Board Members
Additional Responsibilities
· Finalize and issue all Corporate Press Releases.
· Schedule all quarterly conference calls required for public reporting of financial results.
· Work on assignments that are sensitive in nature with high level contacts inside and outside the Company; maintain a high level of confidentiality with all documents and information
· Provide work direction and/or leadership to other secretarial staff members
· Research, recommend and implement specific projects
· Responsibilities Related to Travel Program for President and Board of Directors
· Provide administrative support for the Vice President, General Counsel on special projects such as annual recertification of Code of Business Conduct, Policy Reviews, etc., as required.
· Provide training to individuals/groups regarding software/best practices, etc.
· Interview candidates for other secretarial positions in corporation and provide feedback to Human Resources on skills and abilities
· Oversee automated attendant configuration and ensure coverage for operator calls
· Record messages for automated attendant
· Arrange for Blue Bell holiday parties
· Schedule all employee meetings
· Other Administrative Responsibilities as requested.
Minimum Requirements:
· High school diploma with 10 or more year’s executive secretarial experience, with Associate Degree in secretarial science, or Bachelors Degree in a Humanities discipline preferred
· Ability to type 75-80+ wpm with shorthand ability preferred
· Proficient with personal computer and data entry
· Proficient with Windows-based word processing and spreadsheet software programs. Mastery of Microsoft PowerPoint, Excel and Word strongly preferred.
· Thorough knowledge of business grammar, writing, spelling, and punctuation
