MGR - ARCHIVING
The Manager, Archiving is responsible for the development and implementation of a comprehensive Records Management program. This position is also identified as Chief Archivist. The position develops, maintains, executes, communicates and enforces records management policies and procedures throughout the organization. This position will oversee the development, maintenance, distribution and compliance of the Record Retention Schedule and associated record management SOPS in accordance with the company’s established Document Retention policies and global record management systems. RELATIONSHIPS:The position reports to the Director of Bioethics and Archiving. The position will also be responsible for chairing the Records Management Committee, which consists of designated Records Coordinators from each department. The position will manage a staff of internal employees and/or external workers brought in for special project work. The position works in close collaboration with the Legal Department as well as having Headquarter related contact points and collaborations in relation to duties. External relationships with vendors specific to document storage and retention issues, as well as the support of outside legal consultants are also present. The position has a strong customer service function and will require strong interpersonal as well as customer relations skills. ESSENTIAL FUNCTIONS:ARCHIVING• Demonstrates mastery of local and global record management systems in order to act as reference person who can train others and recognize areas for upgrade or improvement.• Develop and enforce (as legally required) retention schedules, reproductions, retrieval, protection and distribution of records.• Supervises, trains, and develops archiving associate and any temporary employees on projects.• Represent Novo Nordisk on global record management work teams by providing input, insight and explanations of local processes and procedures.• Provide training to ensure all departments clearly understand new or improved information retrieval systems.• Act as a reference person for a cross-functional team of Records Coordinators from each department to ensure compliance and consistency with procedures and schedules.• Develops appropriate policies and training to broaden educational awareness and understanding.• Develops, communicates and executes document destruction policy and co-ordinates record destruction process as indicated by company’s Document Retention Policy.• Assist Legal, Medical, HR, Regulatory, etc. departments with documents (retrieval, delivery, etc) in the event of a legal inquiry, legal order, actual or pending litigation, or government or regulatory body audit or investigation.• Ensure accuracy of data within record databases by performing audit activity as defined in SOPs.• The position also provides assistance to users in controlling costs associated with information creation, storage and retrieval.SYSTEMS SUPPORT• Supports validation activities of IT systems across the affiliate.• Provides back-up support for various quality systems in place at the affiliate, including but not limited to change control, non-conformity, and ISOtrain.DEVELOPMENT OF PEOPLE:• Ensure that reporting personnel have 3P forms with annual goals and measurements that are consistent with the priorities of the business, and that interim reviews are held so that their work is focused on those priorities, and they understand their level of accountability for results and the measurement process.• Manage the application and communication of all Novo Nordisk policies, procedures, and Novo Nordisk Way of Management.• Ensure that the 3P forms include completed Learning and Aspiration plans and are in place for all reporting personnel to enable the achievement of goals and capability to assume increased levels of responsibility. FISCAL • The position also provides assistance to users in controlling costs associated with information creation, storage and retrieval.
