Sales and Contracts Administrator – for a Successful Learning Technology Company!
This position is based in our Santa Clara headquarters.
Leading education technology solutions provider seeks a motivated, high energy Sales and Contracts Administrator to provide contract, transactional and Siebel database support for the Sales team. The position requires an organized and articulate individual who has a strong attention to detail and is able to set and meet deadlines.
Responsibilities:
• Drafting standard and non-standard contracts, licenses and other legal documents.
• Work directly with members of the sales team to prepare sales quotes and proposals.
• Review all completed documents for accuracy, pricing consistency and compliance with approval requirements.
• Coordinate delivery and execution of contracts and distribution of file copies to clients and internally.
• Communicate with customers to communicate contract negotiation positions and expedite contract execution.
• Organize and assist on projects to improve functionality of Siebel CRM database for Sales team.
• Collect, enter into Siebel and maintain data about accounts, sales opportunities, activities, contracts and contacts.
• Create sales and account management reports from Siebel data.
• Assess the business risks associated with proposals and contracts and communicate with management.
• Point of contact for the sales team on all assigned business and contractual matters.
• Coordinate with other departments as necessary in the preparation of documents.
• Monitor contracts to verify compliance with fulfillment schedules, design specifications, and legal requirements.
• Sales order administration and expedition.
• Insure all contracts, quotes and communications are in Siebel database
• Formulate and deploy process-related improvements related to the provision of legal and general support services.
• Maintain and organize computer and paper libraries of all contracts, and supervise access to contract libraries.
• Ensure that sales and account management policies and procedures are followed.
• Prepare forecast data and contract tracking information in support of Sales.
Required Experience and Qualifications:
• B.A./B.S. degree.
• Five or more years of contract experience in support of corporate front-line transactional work.
• Skilled at preparation of contracts and other legal documents.
• Recent experience in supporting sales operations, including preparation of quotes and proposals.
• Experience at using and improving contact databases – Siebel experience a plus
• Sound, practical business judgment, and a problem-solving, client focused, results oriented approach
• Ability to communicate effectively, both orally and in writing and to listen actively.
• Excellent document reviewing and proof-reading skills.
• Must have strong skills at business writing, including spelling and grammar.
• Aptitude for maintaining recordkeeping systems and procedures.
• Must be able to work independently with minimal supervision.
• Effective in a challenging and constantly changing environment.
• Strong organizational skills and priority setting.
• Process-oriented. Superior attention to detail and accuracy.
• Excellent team worker with good interpersonal skills.
• Intellectual property and government contracting experience a plus.
• Paralegal certificate from an ABA-approved program a plus.
