TITLE: Community Outreach Vehicle (COV) Driver / Office Assistant

 

REPORTS TO:  V.P. for Facilities

 

 

POSITION SUMMARY:  To operate and maintain Hudson Health Plan's mobile office.  Provide assistance to the Marketing and Clinical staff at community events and affairs. Responsible for the general clerical functions, upkeep of the office and all mail room and copy room activities. 

 

 

SPECIFIC DUTIES:

 

Driver:

 Operate HHP’s mobile office vehicles in a safe manner in the assigned route and service areas.Pick up and drop off vehicles at designated parking facilities.  Basic vehicle maintenance, eg., checking and replacing vehicle fluids, and cleaning the exterior and interior of the vehicle. Deliver and wait for vehicles during routine service and trouble repairs visits. Refuel vehicle as necessary and maintain all receipts for gas, tolls, and parking.Maintain and submit a daily “Trip/Fuel Consumption Calculation” log to the VP of Facilities Management for review.  Inventory supplies and restock vehicle on a daily basis with the following items: stationery, equipment and promotional material.  Assist the Marketing, Community Relations and Clinical staff with set up of tables, tents, banners, etc., at community events and affairs. Actively participate in and assist with distribution of flyers, promotional items and brochures at events. Immediately respond to and report accidents or medical emergencies to the police and emergency response providers.

Office Assistant

Provide relief receptionist coverage, records daily absences, notifies staff of such via e-mail. Distribute incoming and outgoing mail to departments. Perform general secretarial functions, typing, and data entry for various departments.Fill supply requisitions and update Supply Inventory system.Establish telephone contact with members to obtain forwarding address.  Notify Enrollment of address changes.  Maintain log of contacts. Perform basic mailroom functions, i.e., and stamping outgoing mail, bulk mailings, postage-by-phone functions, etc. Act as liaison with local post office, maintain a constant supply of postal supplies, including FedEx, and UPS supplies, and replenish supplies, as needed.Maintain adequate kitchen supplies, beverage and paper products in all kitchens.Handle production requests, i.e., mailing of monthly member packets, premium billing, large volume copying, etc. Notify vendors when copiers or faxes need repair. In absence of Senior Office Assistant provide backup and handle mailroom function to include, smart mailer, data entry, eTime, etc. Relocate office equipment, storage boxes and furniture as needed.

 

QUALIFICATIONS:  H.S. Diploma or equivalent.  Valid NYS CDL-B or C driver’s license.  Automobile required. Exhibit no sensitivity to extreme temperatures, dust, fumes and/or loud noises. Ability to read maps, interpret road signs, follow driving directions and operate a vehicle in a safe manner.  Heavy lifting required (up to 60 lbs.).  Good communication skills and ability to sit or stand for prolonged periods. Must be self-motivated, organized and demonstrate an ability to use sound judgment.  Possess an ability to work independently with minimal supervision. Computer/database experience at an entry level.  Bilingual a plus.
