JOB DESCRIPTION

 

Position: Office Administrative Manager

Report to:

 

Summary:  Responsible for the efficient operation and control of The Sanford House  administrative operations and activities which contribute to the orderly operation of the business.

 

1. Act as the focus person for all communications including overseeing the telephone system/ distributing information to personnel and assisting the communication process between the facility, management, staff and guests.

 

2. Read and route incoming mail. Locates and attaches appropriate file to correspondence.

 

3. Prepare routine correspondence as directed.

 

4. Organize and maintain file systems.

 

5. Answer and screen telephone calls, and arranges conference calls.

 

6. Coordinate management’s schedules and make appointments.

 

7. Greet, guest, visitors and conduct to appropriate area or person.

 

8. Arrange and coordinate travel schedules and reservations.

 

9. Conduct research, compile and type statistical reports.

 

10. Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, record and transcribe minutes of meetings.

 

11. Make copies of correspondence or other printed materials as requested.

 

12. Order and maintain supplies, and arrange for equipment maintenance

 

13.   Maintain the record-keeping systems which produces information in an accurate, complete and timely manner for the purpose of accounting, payroll, insurance, ordering, quality control, shipping, receipt and distribution of company materials and products.

 

14.   Manage office and administrative activities/ including preparation of daily accounting function, safekeeping of records, human resource duties and all other company assets by implementing proper security and confidentiality measures.

 

15.   Administer and advise employees of their benefits, company policies and procedures including timekeeping, performance reviews, holidays, etc.

 

16. Under the direction of the Accounting Firm, maintain the accounting system in a manner which conforms to the standards of the company.

17. Prepare weekly key payroll data for transmitting to payroll service for checks to be processed as needed, processes mail, computes monthly benefits. 

 

18. Update employee files to document personnel actions and to provide information for payroll and other uses.

 

19. Keep clear channels of communication open with management, fellow co-workers, employees and customers in compliance with company policies.

 

20. Support company policies and procedures at all times.
