Program Secretary
Preferred Family Healthcare is seeking a full time Program Secretary for our San Antonio, Texas location. Responsible for assisting program site with scheduling, admission of consumers, file management/maintenance, daily census reporting, operation of phone system, purchasing, data entry and billing audits.
Essential Job Functions:
· Respond to new referrals documenting in appropriate method.
· Maintain waiting list according to CARF and DSHS standard.
· Maintain positive, professional relationships with referral sources, clients, and coworkers, adhering to Code of Ethics and agency policies.
· Represent the agency within the community in a professional manner.
· Schedule Screening/Intake
· Facilitate Screening for Program Eligibility on phone or face-to-face.
· Compile intake paperwork and assist consumers in completion of intake paperwork.
· Complete census information
· Enter data into computer data base within the appropriate timeframes (PFH, BHIPS, Access DB)
· Complete billing audits
· Generate reports in BHIPS, Access DB, PFH, and Excel for distribution to Program Staff
· Review group logs/participation logs and audit against Daily Service Logs and submit to appropriate parties in a timely manner
· Assist in filing, quantitative chart review, compiling chart information, and breaking charts down
· Other duties as assigned by the Clinical Supervisor, Program Director, Vice President, or the Executive Team members.
Knowledge, Skills, and Abilities:
· Knowledge of case management and rehabilitation methods, principles and techniques as they relate to mental health and substance abuse treatment services.
· Knowledge of the problems encountered by persons with mental illness and/or substance abuse disorders residing in the community and how to access the various community resources available.
· Knowledge of the methods and modalities as well as the legal requirements and court procedures related to treating mental illnesses and substance abuse.
· Knowledge of supervisory and training techniques and practices used in a mental health and/or substance abuse treatment setting.
· Ability to plan, supervise, and evaluate the work of Community Support Workers.
· Aptitude to develop, coordinate, and evaluate services within assigned program.
· Capable of communicating ideas clearly and effectively, verbally and in writing to produce clear and concise reports.
Experience and Education Qualifications:
· High School Diploma or Equivalent AND two years of responsible work history; Prefer Associate Degree or Specialized Training in Administrative Support Functions.
