 Part Time Clerical Assistant  POSITION SUMMARY

Under the direct supervision of the Operations Coordinator, provides general secretarial and administrative services to the Illinois Regional Team and Wexford staff working at IDOC facilities.  The ideal candidate will work from a home office.

 DUTIES/RESPONSIBILITIES

1. Create and maintain Kronos Timekeeper/Scheduler for Illinois sites that do not have a Wexford Site Manager, have a vacant Site Manager position or have a Site Manager that does not have Internet access

2. Ensure Kronos Timekeeper/Scheduler documentation is maintained, filed and submitted to the sites or the corporate office in the established timeframes.

3. Work with Regional Administrators/Regional Managers and Wexford employees to ensure Kronos Timekeeper/Scheduler accurately reflects hours worked at the sites.

4. Assist Operations Coordinator in training new Site Managers on Kronos Timekeeper and Scheduler.

5. Be available to answer questions or concerns about the Kronos Timekeeper/Scheduler program in Illinois.

6. Notify Operations Coordinator of issues or concerns related to Kronos Timekeeper/Scheduler.

7. Perform Clerical / Technical duties

8. Prepare and type reports/correspondence for Illinois Regional Team.

9. Answer telephone, relay messages and respond to queries as appropriate.

10. Develop and maintain filing system for all material.

11. Schedule appointments for Illinois Regional Team.

12. Collect and process documents sent via mail.

13. Orders office supplies as needed.

14. Takes minutes of meetings and other dictation as requested.

15. Assist the Operations Coordinator in meeting/event planning.

16. Serve as contact person for Illinois Regional Team.

17. Assist in scheduling meetings/conference calls for the IL Regional Team and corporate office as appropriate.

18. Update and maintain organization charts for all of Illinois.

19. Update contact information for Illinois with the Corporate Office Manager, Director of Information Technology, and Project Coordinator.

20. Conforms to Wexford Health Sources, Inc., and facility regulations as appropriate, to include, but not be limited to:

a.  Dress code

b.  Schedule/time sheet

c.  Safety and security regulations

d.  Procedure for sick leave/vacation time/education seminars

21. Maintains the confidentiality of all correspondence and files.

22. Approaches change in a positive manner.

23. Makes suggestions for improving work conditions to the appropriate Supervisor.

24. Accepts constructive advice/criticism and learns from it.

25. Maintains composure in stressful situations.

26. Perform other related duties as required or assigned.
