LABORATORY ADMINISTRATOR - Dental Research Administration
The Division of Craniofacial and Molecular Genetics pursues basic research related to craniofacial and skeletal development, disease, and regeneration. The Division is Directed by Dr. Pamela C. Yelick, Ph.D., Professor, Department of Oral and Maxillofacial Pathology, and currently consists of approximately twenty employees, located at two Tufts University locations Boston and Medford, MA. The Division personnel consist of lab assistants and research technicians, postdoctoral fellows, and research associates. The group regularly presents research at both national and international meetings. The cutting edge research pursued in the Division ranges from gene discovery and functional characterizations in the developmental model of the zebrafish, to three dimensional tissue engineering approaches using cultured human dental stem cells seeded onto nanofabricated scaffold materials. The laboratory is recognized as a world leader in these fields.
The Division works closely with the Department of Oral and Maxillofacial Pathology, and the Department of Research Administration (DRA) within Tufts University School of Dental Medicine Scientific and Clinical Research Center, which is the clearinghouse and supervisory structure for all grants and contracts at the Dental School. The DRA is the liaison to the Office of the Vice Provost, Sponsored Accounting, IRB, IACUC, DLAM, Biosafety and all other offices responsible for administering research on the Tufts Health Sciences Campus. The DRA manages all pre- and post-award grant and funding details and budgeting on behalf of its investigators and provides education and support to all dental researchers and their collaborators both on-campus and in research community. The DRA conducts basic science and clinical research trials to explore and expand issues relating to the oral environment.
The Laboratory Administrator handles all administrative and management processes involved in the daily operation of the laboratories within the Division of Craniofacial and Molecular Genetics. All non-exempt laboratory staff will report directly to the person in this position, who will also be tasked with supplying supervisory support for postdocs and research associates as needed with regard to non-scientific matters. S/he will be responsible for monitoring and reviewing performance of direct reports, ensuring equitable compensation within the lab for all employees, making decisions about job titles and responsibilities, as well as managing workflow and staffing concerns (i.e., time-keeping, approval of time-off requests, individual career questions and personnel related issues).
Responsibilities include, but are not limited to, supervising staff attendance and ensuring lab compliance with protocol requirements and all applicable animal use, human subjects, and environmental health and safety trainings. This position will be the point person responsible for placing all lab orders, submitting electronic purchase requisitions, maintaining invoice files and resolving billing issues, managing calendars, setting up meetings, reserving conference rooms, filing employee timesheets and reporting hours, arranging equipment repairs and submitting Facilities requests, obtaining document signatures, sending FedEx shipments, completing travel authorizations/reimbursement forms, business expense reimbursements and all other necessary administrative documents.
Obtaining travel authorizations and booking domestic and international travel itineraries is a significant task assigned to this role that will require accuracy and timeliness. Additional responsibilities include posting job advertisements, scheduling interviews, handling new employee orientation to the lab, ensuring personnel training compliance, overseeing equipment maintenance, and observing the applicable purchasing and federal grant spending guidelines for all financial transactions with input from Research Administration.
The overall importance of the position is to ensure efficient daily operation of laboratories in Boston and Medford for the Division Director, and to be the compliance and administration liaison to the DRA Program Manager who handles the Divisions research grant administration. The Division Director travels frequently and works in two locations, and will rely on the supervisory and management skills of the person in this role to respond to the day-to-day administrative, operational, and staff oversight needs, and to disseminate this information to the Director. This position requires frequent, clear, and open communications with the Division Director and the DRA Program Manager.
Basic Requirements: Bachelor's degree with 2 - 3 years related experience. Knowledge of Microsoft Office, email and internet. Must be willing to work in two different laboratory locations in Boston and Medford. Lifting up to 25 lbs with or without accommodation.
Preferred Qualifications: We are seeking a mature individual with highly skilled communication abilities, supervisory experience, and a strong aptitude for dealing with numbers and logistical problem solving, especially as it pertains to ordering and billing. Prior work experience in a university setting handling purchasing and other administrative procedures is an advantage, as is familiarity with research administration fundamentals. Outstanding organizational, interpersonal, and time management skills are important as well as the ability to exercise discretion, work with minimal supervision and interact flexibly and effectively with people in varied roles and from diverse backgrounds. The position calls for an individual who can maintain a professional outlook and handle multiple projects and deadlines simultaneously despite frequent interruptions and overlapping priorities.
Special Work Schedule Requirements: The position will require a weekly commitment of at least one workday in the Medford location. The Medford location can be reached by car or bus (parking at the Medford location is free).
