IS Project Coordinator
Location: Boston Status: Full Time, Employee Job Category: Project/Program Management Relevant Work Experience: 5+ to 7 Years Career Level: Experienced (Non-Manager) Position Summary:This position is expected to participate in various phases of the project management life cycle; provide technical evaluation, testing, at the discretion of the IS Manager, and contribute to the technical specifications of the project; provide ongoing support for specific vendor applications implemented through projects and that are not (currently) supported by IS operational/support teams or Clinical Systems team. Expectations include fundamental project management skills, excellent written and verbal communications skills necessary to interact, coordinate and collaborate effectively with multidisciplinary and cross-functional teams (that may potentially span the BIDMC organization or involve affiliated organizations) and external vendors; demonstrated general knowledge and understanding of the BIDMC enterprise computing environment; including but not limited to: desktop architecture (management levels, support and security); clinical and specialty applications and a basic knowledge and understanding of networking (LAN/WAN, Wireless) principles and protocols.Duties and Responsibilities:1. Provide technical support for vendor applications that are not supported by IS operational/support teams or the Clinical Systems team, activities include but may not limited to: application and OS security management, contract tracking/management, support agreements and warranty management, asset management, performance monitoring and problem management.2. Participate in pre-project activities; i.e., researching, testing and coordinating software, hardware, development issues, costs and other information related to the proposed project; RFP process, and defining resources and scope, contributing to project proposal. 3. Contribute to and/or propose solutions to potential problems and/or potential risks based on probability and impact on the project, business or technology and suggest actions for mitigating identified risks.4. Plan, coordinate and assist in application installation, testing, configuration and on-going support.5. Develop downtime and notification procedures and disaster recovery policies and procedures for each application to ensure sustainability during a disaster or other downtime event. 6. Act as primary contact for vendor and serve as a liaison between vendors and the IS Department.7. Author, create and maintain technical and/or other documentation relevant to either the technology project management or application support functions; including but not necessarily limited to: Research and testing documents/documentation, compatibility and/or interoperability and performance analysis and reporting, modifications and configuration changes, etc.8. Author, create, and maintain documentation, technical procedures and workflow processes related to vendor applications; including but not limited to: vendor contact and support information, warranty and maintenance, application information, standards, specifications, etc.9. Possess and demonstrate knowledge and understanding of all aspects of the enterprise computing environment, network concepts and principles, and security policies.10. Possess and demonstrate technical knowledge and understanding of Microsoft operating systems (versions NT, W2K, XP) on the desktop with the ability to install, set up configure and write configuration changes to ensure proper and optimal performance of system, software and applications.11. Possess and demonstrate the skill/ability to troubleshoot and resolve access and interoperability issues with hardware, software, services and systems by applying system analysis techniques that include consultation with technical experts, users, and vendors; analyzing data produced through various tools, technical processes/procedures and information provided via various systems functional specifications. 12. Acquire, expand and maintain professional knowledge and skills by participating in internal and external training opportunities, in-service programs, vendor seminars and other available means in order to maintain the highest level of technical skills possible.13. Possess thorough knowledge and understanding of IS policies, procedures and standards; observe and maintain appropriate confidentiality and security in accessing, viewing, handling data and comply with all BIDMC policies and all Federal, State, local regulations as well as HIPAA requirements related to confidentiality and security. 14. Maintain effective communications, exchange of information and working relationships with other IS Teams and resources in order to facilitate rapid, accurate and positive outcomes.15. Possess and demonstrate knowledge and understanding of BIDMC core commercial production applications (including but not limited to Microsoft products) and acquire and demonstrate knowledge and understanding of BIDMC-centric clinical and specialty applications16. Assist in developing and maintaining documentation specific to service levels, support resource requirements; roles and responsibilities for application/system owners and system administrators and IS expectations and requirements for each; including but not limited to: Administration/ Account Management/Security; Account Management for non-ITS applications, containing EPHI; Contact for HIPAA and ITS-related functions for the application; Account approvals for high application access (based on support contract/ support levels) and Account Management Auditing and HIPAA compliance.Requirements: Required Skills and Experience:? Bachelor?s Degree in Information Systems or related field with minimum 4 years experience or 6 years technical operational support experience in a large? Technical knowledge and understanding of technologies and platforms in use at BIDMC/IS; i.e., Windows OS and client/server environment, Active Directory, account administration and desktop security management (SMS), DBA, networking principles and wireless security/protocols, etc., and MSOffice and other production products; i.e., Project, Visio, Access, Excel, Word, PowerPoint and Outlook.? Excellent analytical skills with the ability to identify requirements and effectively coordinate solutions.? Demonstrates knowledge of project planning and coordination skills.? Excellent writing skills, with ability to express technical knowledge, procedures and processes in clear, orderly and easily understood presentation.? Demonstrates excellent communications techniques and skills.? High level knowledge and understanding of connectivity within a multi-platform distributed computing environment with demonstrated diagnostic and analytical skills.? Proficient knowledge of MSOffice and MS Project and other project-related tools and applications.?
