About the Position
The Student Health Center (SHC) provides a variety of medical services, which are similar to the outpatient care provided in a physicians' group practice.These services for students include primary and urgent/acute care, evaluation and guidance for individual health problems, family planning services, public health prevention programs, and health education.In addition, the SHC provides limited initial care for injuries of employees, and if necessary, assists in referring such persons for ongoing care.Integrating service, collaboration, competence and efficiency in support of the SJSU mission and values is a key aim for every SHC position. Reporting to the Director, and receiving work lead direction from the Health Information Specialist the Health Information Assistant provides reception, scheduling, administrative/clerical and project support to all areas of the Student Health Center.
ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following:
Records and Reception:
- Serve as front line support to include answering phones, directing calls, greeting and directing students, faculty, staff and visitors.
- Answer questions and perform routine clerical, data entry.
- Work with PeopleSoft to access and utilize student information, including determining student eligibility for services provided by SHC.
- Compile, verify and maintain confidential medical records.
- Maintain both paper and electronic record content.
- Pull, distribute, collect and re-file charts.
Administrative Support:
- Provide administrative support on assigned projects in support of the Student Health mission and goals
- Disseminate information to students as appropriate.
- Interact with students and staff in working to solve service problems.
- Receive and record payments for services.
- Provide collegial and consultative support to other SHC staff.
On a daily basis, this position involves reaching for and lifting up to 25 pounds. Occasionally, incumbent will need to push (e.g., in a cart) up to 75 pounds.
Education and Experience
A High school diploma or equivalent and one year of office experience are required.
Knowledge, Skills & Abilities
- Ability to effectively establish and maintain cooperative working relationships within a diverse multicultural environment.
- Must possess excellent customer service, public relations skills, and oral communication skills.
- Ability to maintain confidentiality and appropriately handle sensitive documents and communications.
- Ability to perform work accurately in a detail-oriented and fast paced environment.
- Ability to proof accuracy of entered/ recorded information and numbers (amounts, times, codes, etc.)
- Ability to handle multiple work priorities, organize and plan work and projects.
- Ability to quickly learn and apply a variety of state, federal, CSU, and SJSU policies and procedures.
- Working knowledge of software applications: medical records database, student database and word processing.
- Working knowledge of methods, procedures and practices, English grammar, business writing, punctuation and spelling.
- Ability to compose and appropriately format correspondence and reports.
- Ability to provide collegial and consultative support to other SHC staff.
Preferred Qualifications
The ideal candidate will have reception, scheduling and record keeping in a health care environment. Knowledge of procurement policies and practices is preferred. Experience in PeopleSoft is a plus.
