Our dynamic organization, consistently recognized as a “best employer,” both nationally and in the Boston area is seeking an experienced administrative assistant for one of its subsidiaries, Physician Health Services (PHS). PHS is a non-profit corporation founded by the MMS that provides confidential consultation and support to physicians, residents and medical students facing health concerns related to alcoholism, substance abuse, behavioral or mental health issues, physical illness.
Duties include:Providing administrative support related to client case management activities. Monitoring and maintaining all client activity and requests including drafting client correspondence, intake data process, new contracts, monitor changes, and all case transactions. Coordinating requests for information from all third parties including drafting compliance correspondence and consent forms, working directly with PHS attorney and third party payers regarding disclosure process. Responsible for assistance with the Associate Directors Meetings and Clinical Advisory Committee including meeting agenda, and writing meeting minutes.
The ideal candidate will have:A Bachelor's degree or equivalent experience Three years administrative office experience in a healthcare or legal environment supporting attorneys.Proficiency with several software and database packages, Microsoft Windows and Microsoft Outlook. The ability to organize and plan detailed activities. Prior experience drafting correspondence, excellent written and oral communication skills and a cooperative and collaborative approach to the work environment. Excellent typing, editing, proofreading, word processing, transcription and data entry skills. Experience with database and and the maintenance process of a database system. Prior experience or involvement in a quality management program or process is helpful. Experience within the field of substance abuse and mental health is preferred. Sensitivity and experience in a confidential setting is strongly preferred.
