General Summary

 

Provide administrative support to Client Accommodations Team and coordinate move in/move out activities that ensure a smooth transition into temporary housing accommodations for traveling health care professionals in all divisions on assignments throughout the United States. Communicate with vendors, teammates, and other departments to insure that the needs of the travelers are handled quickly and effectively.

 

 Principal Duties and ResponsibilitiesCommunicate with furniture companies, utility companies, and apartment complexes regarding pertinent activities that support the travelers move in/move out assignments, such as scheduling delivery of furniture and special requests for laundry equipment, microwaves; turning on/off utilities; authorizing key releasesUpdate internal housing system with new vendors and, property amenitiesMaintain and update filing of leases, communications, and traveler information packagesSchedule and track hotel accommodations when needed for travelersResearch and pay vendor billsAssist CAD Team with research for new vendors within defined territoriesAssist accounting with discrepancies in billing and follow up with utility companies and vendorsMaintain and verify list of scheduled “move inâ€� travelers for weekend/holiday support personnelWork with Recruitment Team to support the specific needs of the travelersCommunicate with internal and external customers to resolve issues, questions and concerns swiftlyProvide on request necessary information relating to a specific geography for travelers and teammatesReview and maintain weekly housing reports Other duties as assigned, with or without accommodation

Knowledge, Skills and Abilities Required

1.  2+ years experience in an administrative support position preferably in general business, customer service or real estate environment; College degree preferred

2.  Ability to manage multiple, time sensitive tasks

3.  Well organized with demonstrated auditing skills

4.  Detail oriented and project focused

5.  Clear, concise verbal and written communication skills

6.  Strong customer service mentality

7.  High energy level and team player

8.  Computer literate with Microsoft suite of products
