CHARGE ENTRY SPECIALIST

Job Title: Charge Entry Specialist  

Department: Business Office

Reports To:  Division Practice Manager

 

Summary: Responsible for the timely and accurate reconciliation, coding review, entry, and posting of all encounter forms and hospital charges performed daily by physicians, practitioners, and nursing staff.

 

Essential Duties and Responsibilities include the following. Other duties may be assigned

 

Represents physicians, practitioners, and management at all times in a positive and professional manner

 

Welcomes all patients and visitors with kindness, courtesy, and respect

 

Performs daily audit of encounter forms against the patient schedule to ensure all encounter forms have been received and accounted for

 

Ensures cash entered from patient encounter forms reconciles with daily cash log

 

Reviews daily encounter form prior to entry to ensure appropriate ICD-9 coding, infusion hours, drugs correspond with required attached pyxis ticket for infusion, and physician visit marked

 

Ability to review a pathology report for coding clarification and/or off label confirmation and collaborates with supervisor, practice manager, or physician with questions or clarification

 

Confirms all off label usage confirmed with Medicare Guidelines or ACCC bulletin as appropriate.  Communicates off label usage to financial counselor and practice manager via log provided after each posted batch

 

Reviews batch summary for entry accuracy including date of service, appropriate physician, drug, drug units, diagnosis, and insurance compliance by signing off on summary prior to posting

 

Communicates with supervisor all issues preventing the timely entry of charges including inability to account for missing encounter forms, unresolved issues and information needed for billing from other departments,  and time off requests

 

Demonstrates ability to perform effectively as a team member in all interactions by taking personal responsibility for actions, supporting practice decisions, attend department meetings, and communicate with a mutual respect and value for the contributions of others

 

Participates in professional development activities to keep current with job responsibilities

 

Displays respect for patient privacy rights

 

 Supervisory Responsibilities

This job has no supervisory responsibilities

 

Qualifications Knowledge of CPT & ICD-9 coding guidelines.  Certified Professional Coder preferred.

Proficiency with 10 Key Calculator

 

Education and/or Experience

High School Graduate or GED

 

Language Skills

Ability to read and comprehend simple instructions, physician and practitioner orders, short correspondence, and memos.  Ability to write and document accurately.  Ability to effectively present information in one-on-one and small group situations to patients and other employees of the organization.

 

Mathematical Skills  

Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately. 

 

Reasoning Ability

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

 

Computer Skills

To perform this job successfully, an individual should have knowledge of Microsoft Internet Explorer, Microsoft Office, and Practice Management Systems

 

Other Qualifications

3 years experience in medical front office preferred
