GENERAL SUMMARY/ OVERVIEW STATEMENT:
Provides secretarial and administrative support services such as typing, filing, scheduling appointments, preparing records, reports, meeting agendas, meeting minutes, and maintaining levels of supplies.
The assistant is expected to make judgments concerning priorities, to use initiative in improving office systems, which will contribute to attainment of organizational objectives, to have understanding of the goals and responsibilities of the organization as well as to accomplish necessary office tasks.
Reports to the Director of the Center for Nursing Excellence.
Provides specific and general administrative support services.
Under the direction of the Center for Nursing Excellence Director, provides variety and wide scope of administrative help to both the Nursing Department and the Nursing Committees.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Acts as administrative assistant to three committees, co-chairs, advisors, and committee members. Attends all specified Nursing Committee Meetings: 4 Meetings/month.Takes minutes, tracks attendance, and organizes presentations and handouts for all meetings.Maintains and updates SharePoint site for Committees with agendas, handouts, presentations, approved minutes, attendance, etc.Keeps in contact with committee co-chairs and advisors to assist with any committee related tasks or projects.Sends reminder emails to committee members prior to meetings.Sends follow up emails to committee members not in attendance at meetings.Assists with reformatting of Nursing Clinical Policies.Makes updates as needed and requested to the Nursing Clinical Practice Manual and CWN Policy Manual.Assists with various projects as needed for directors of the Center for Nursing Excellence.Assists with database organization and restructuring, as needed.Administrative assistance for the Patient Education Television Implementation Advisory Group. (SharePoint, Minutes, Agendas, follow-up with advisors, meeting planning, room booking, reminder emails to members).Support for HealthStream updates and information updates.Performs other duties as assigned.
QUALIFICATIONS:
High school, plus 1-2 years secretarial/ business school.Previous administrative experience.Demonstrated proficiency with computers, Microsoft Office Suite Programs, SharePoint.
SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:
Demonstrated strong interpersonal, communication, and written skills, including excellent telephone skills.Ability to set priorities for carrying out work assignments.Strong customer service skills.Ability to manage multiple tasks simultaneously.Clear and concise communication skillsSuperior organizational skills and must be detail oriented. Ability to function with many requests- must be able to multi-taskComputer skills required: Proficiency in Microsoft Office Suite, Windows 2000-XP: including Word, Excel, etc. Previous SharePoint experience preferred, not necessary.Ability to work under pressure in a fast-paced and at times hectic environment. Ability to multi-task.Ability to perform complex administrative tasks. Ability to handle sensitive and confidential information.Demonstrated ability to work independently, accurately and to meet established guidelines as part of a team effort. Ability to deal with all levels of employees within Brigham and Women¿s Hospital tactfully.Initiative, follow-through, resourcefulness, and efficiency.
WORKING CONDITIONS:
Busy office environment, with frequent interruptions.
